About The Position

The Office Manager provides responsive, high quality and cost effective management of all day to day operational services and functions as well as assist in a variety of business services, tasks, and special projects.

Requirements

  • High degree of proficiency with MS Office products including Word, Excel, Access, Power Point, PDF Converter, and Outlook.
  • Professional and courteous demeanor with exceptional communication, presentation, customer service and interpersonal skills.
  • Ability to onboard, train, and manage others successfully, as well as create a collaborative environment between the sales offices and other departments, including HR, IT, Marketing, Accounting, etc.
  • Ability to maintain the highest level of confidentiality and handle sensitive material concerning the organization.
  • Strong organizational/time management skills.
  • Ability to handle multiple tasks simultaneously and meet designated deadlines.
  • Understanding of the larger business context; planning and forecasting accordingly.

  • Experience in Real Estate Sales or related industry.

Responsibilities

  • Handling expenses, making appointments, arranging meetings.
  • Receiving, composing and editing letters, memoranda and general correspondence, managing records, maintaining contacts, data entry.
  • Maintaining listings.
  • Preparing material for management meetings and presentations.
  • Anticipating needs, dealing with the unexpected, acting as liaison between Executive and staff, handling confidential matters.
  • Direct supervision of staff.
  • Ensuring that brokers and staff are supported properly administratively and professionally to ensure a higher volume of production.
  • Managing and increasing the effectiveness of broker support.
  • Being available to brokers administratively and maintaining a high level of broker services.
  • Supervising administrative staff including but not limited to training, task delegation, tracking and handling all attendance-related needs, monthly meetings, motivation, and following up.
  • Working with Human Resources on matters relating to State and Federal employment law compliance, recruitment, hiring, new hire orientation, performance management, and terminations.
  • Providing input and soliciting feedback from managing principals and brokers concerning staff performance and involving corporate Human Resources, as necessary, on cases involving disciplinary issues and terminations.
  • Resolving office staff issues.
  • Being available and on-call in the event of an emergency.
