About The Position

We are seeking an energetic, highly organized Office Manager to manage daily front-office operations, deliver high-level support to our optometrists and staff, and ensure a welcoming, seamless experience for our patients and their families. Requirements

  • High School Diploma or equivalent required
  • Minimum of 3 years of administrative experience within a medical setting preferred.
  • Superior written and verbal communication skills; ability to interact compassionately with individuals of diverse abilities and backgrounds.
  • Strong computer literacy, including advanced proficiency in MS Word and Excel, hands-on experience with EMR systems (Compulink preferred), and digital record management.
  • Exceptional organizational, time-management, and multitasking capabilities in a busy clinical environment.
  • High degree of flexibility with the ability to work independently, problem-solve on the fly, and maintain composure during high-volume periods.

Responsibilities

  • Serve as the primary, welcoming point of contact for patients, families, and visitors upon arrival.
  • Answer, screen, and direct phone calls; triage clinic inquiries regarding services, appointment protocols, and payment options.
  • Prepare, compile, and distribute pre-appointment informational packages to incoming patients.
  • Manage complex scheduling for all patient appointments, follow-ups, and clinical staff calendars.
  • Review, proofread, and securely transmit patient clinical reports and eye evaluations to care teams and families.
  • Manage incoming and outgoing mail, email, and general correspondence.
  • Maintain and order all office and clinical supplies, keeping equipment and patient areas fully stocked.
  • Utilize Electronic Medical Records (EMR) software (Compulink Advantage) to build files, scan documentation, and archive medical history.
  • Verify patient medical insurance coverage, process insurance referrals, and post charges to the ledger.
  • Generate and track superbills and billing records for community patients.
  • Liaise with partner programs to gather, scan, and file official correspondence into EMR profiles.
  • Maintain strict adherence to all HIPAA regulations and patient privacy standards.
