LEAD THE TEAM: Multi-Site Medical Office Manager Michigan Institute of Urology (MIU) is looking for a dynamic, high-energy leader who thrives in a fast-paced environment. If you are an expert at juggling priorities, managing diverse teams, and keeping a medical practice running like a well-oiled machine, we want to meet you. This isn't just a desk job—it is a leadership role where you oversee both the clinical and administrative heartbeat of two busy locations. You will be the go-to person for our Clarkston and Pontiac teams, ensuring our patients receive top-tier care and our staff has the support they need to succeed. WHERE YOU’LL LEAD You will provide leadership oversight across these two premier sites: Clarkston: Clarkston Medical Building, 5701 Bow Pointe Drive Pontiac: Lexus Professional Building, 44200 Woodward Avenue The Schedule: Monday through Friday, 8:00 AM to 5:00 PM. Expect a rewarding 40 to 42-hour work week with a team that values your expertise. WHY THIS ROLE IS FOR YOU You are a Multi-Site Pro: You have experience managing more than one location and understand the logistics of balancing two busy offices. You Lead Everyone: You are comfortable managing both the clinical staff in the back and the administrative pros at the front. You are a People Person: From interviewing new talent to coaching current staff and solving patient concerns, you know how to build a positive culture. You Know the Business: You understand the "why" behind the "how," from managing budgets and EMR systems to staying on top of HIPAA and labor laws. GENERAL SUMMARY The Office Manager is responsible for leading the daily and administrative functions of the front office in the clinic setting. This position provides direction and leadership to ensure great patient care and efficient cost structure. Principal responsibilities include operations, managing of staff and resources, and maintaining compliance with all policies, procedures, and regulations.

Requirements

  • Direct experience as a Supervisor or Manager in a medical office setting.
  • A proven background in overseeing multiple locations simultaneously.
  • High School Diploma (Associate’s or higher is a plus).
  • Experience with EMR systems and medical billing guidelines (Medicare/Medicaid).
  • A "lead by example" attitude that inspires confidence and keeps the team motivated.
  • Human Resources experience in hiring, supervision, and performance reviews.
  • Knowledge of labor laws.
  • Knowledge of continuous process improvement concepts and practices.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Delivers exceptional patient service throughout all interactions.
  • Strong analytical and problem-solving skills.
  • Knowledge of budget preparation and planning.
  • Skill in using computer programs and applications including Microsoft Office.
  • Knowledge in healthcare systems operations such as EMR.
  • Knowledge of Medicare, Medicaid, managed care, and other third-party payer’s guidelines.
  • Skill in leading team members to carry out all job objectives while inspiring confidence and motivation.
  • Complies with all health and safety policies of the organization.
  • Complies with HIPAA regulations for patient confidentiality.
  • Medical Front Office or administrative experience required.
  • Supervisory or management experience preferred.

Responsibilities

  • Provides leadership to front desk team, as well as implementing changes in policies and procedures.
  • Ensures that employees have the resources, tools, and training needed to perform their duties.
  • Ensures policies and best practices are up to industry standards and government regulations.
  • Establishes and implements front desk objectives and procedures.
  • Manages budgets, records, and contracts.
  • Maintains supplies and equipment for the front desk staff.
  • Responsible for the interviewing and selection of new staff members.
  • Addresses patient complaints and queries when accelerated to management level.
  • Oversees performance review process for the staff.
  • Oversees front desk team member’s work schedules and time off requests.
  • Attends monthly Manager meetings and relays pertinent information to front desk team members in a timely manner.
  • Conducts orientation and training on front office policies and procedures.
  • Collaborates with clinic staff including Providers and Management to achieve delivery of excellent patient care.
  • Performs other position related duties as assigned.
