About The Position

The Academy for Technology and the Classics (ATC) is a grades 7-12 public charter school in Santa Fe, New Mexico, seeking an Office Manager. This is an 11-month contract position where the employee selects 20 non-worked days at the start of the contract to coincide with less busy periods. The Office Manager, under the supervision of the school co-principals, supports the administrative operations of the school and office personnel. Key responsibilities include managing financial transactions, accounts payable, enrollment, lottery admissions, general supply and textbook inventory, and employee benefits sign-ups. The role involves organizing, directing, and performing various administrative duties, as well as handling miscellaneous activities and projects. The Office Manager is also required to attend monthly evening Governing Council meetings to take minutes.

Requirements

  • Must be able to comply with federal background check requirements.
  • Proficiency in Microsoft Office Suite and Google Workspace (Docs, Sheets, Forms).
  • Familiarity with student information systems (e.g., PowerSchool, Infinite Campus) and other school software platforms.
  • Effectively plan, organize, and prioritize tasks and responsibilities in a rigorous work environment.
  • Experience with office equipment like printers, copiers, and phone systems.
  • Manage records and maintain organized filing systems, both physical and electronic.
  • Professional receptionist and telephone customer service skills.
  • Ability to learn, apply, and follow rules, regulations, and policies.
  • Ability to communicate with staff, parents, and others in an open, courteous, and professional manner.
  • Perform other related duties as assigned.

Nice To Haves

  • Education and/or equivalent experience in business operations, public administration, bookkeeping, accounting, or related fields preferred.
  • Prior experience in a public school administrative setting is preferred.
  • Literate Spanish language skills strongly preferred.

Responsibilities

  • Perform receptionist duties, providing accurate information to parents and the general public regarding school matters, including public records requests.
  • Organize and schedule registration for incoming students.
  • Enroll new students and process paperwork for disenrolling students.
  • Communicate and collaborate with the Director of Student Success and Academic Services on scheduling new students.
  • Organize and conduct the ATC Lottery according to Governing Council policy and state regulations.
  • Manage school-related money, prepare deposits, and make daily deposits.
  • Process accounts payable and receivables twice monthly or as needed.
  • Work with Santa Fe Public Schools student information and data office.
  • May assist in scheduling the use of facilities.
  • May dispense medication to students.
  • Perform administrative tasks in support of the school’s Governing Council, including but not limited to publishing meeting notices, agendas, packets, minutes, scheduling, and file management.
  • Work with the school business manager to monitor the school’s budget and expenditures.
  • Work with the receptionist to maintain records of personnel absences and assist in scheduling substitutes.
  • Work with the school business manager to maintain adequate enrollment of students for budgeting.
