About The Position

The Office Manager will serve as the operational hub for our Philadelphia headquarters. This role ensures a seamless workplace experience by managing facilities, supplies, scheduling, and on-site coordination, while acting as the primary point of contact for visitors and vendors. The Manager will lead a small team of office staff, own office budgets and processes, and ensure the workplace is secure, efficient, and welcoming.

Requirements

  • 5+ years of office management or administrative leadership experience.
  • Proven experience managing office facilities, vendors, and budgets.
  • Ability to maintain confidentiality and handle sensitive information.
  • Excellent communication, organizational, and problem-solving skills.
  • Advanced organizational skills with the ability to manage competing priorities and meet deadlines.
  • Strong proficiency in Microsoft Office Suite.
  • Ability to multitask and thrive in a fast-paced environment.

Nice To Haves

  • Bachelor’s degree in Business Management, General Business, or a relevant field.
  • Demonstrated ability to lead and develop office support staff.
  • Military experience is a plus.

Responsibilities

  • Own and lead all office operations, including facilities, vendors, security, and workplace services, ensuring scalability and operational excellence in a growing environment
  • Manage and develop a team, including delegation, performance management, and establishing clear workflows and service standards
  • Oversee office budget, procurement, and vendor strategy, including forecasting, cost control, contract management, and performance optimization
  • Drive continuous improvement by building and implementing scalable processes, SOPs, and systems to enhance efficiency and employee experience
  • Lead facilities projects, space planning, and office expansions, proactively anticipating growth-related needs
  • Serve as the primary decision-maker and escalation point for office operations, partnering cross-functionally with leadership, HR, IT, and Finance
  • Partner with Events Manager and Executive Assistants to elevate the in-office employee experience, including strategic planning and execution of events, meetings, and workplace initiatives

Benefits

  • Estimated Base Salary Range: $65,000-$80,000USD.
  • Individual compensation packages are based on various factors unique to each candidate, including skill set, experience, and qualifications.
  • The base salary range refers to the base salary only and is not inclusive of the total compensation package.
