About The Position

Cogir Senior Living is seeking an Office Manager for their retirement residence. This role is pivotal in handling behind-the-scenes activities, engaging with residents, managing resident records, and overseeing accounting functions including Accounts Receivable, Accounts Payable, Payroll & Benefits, and Scheduling. The Office Manager will also lead and engage team members, ensure administrative processes comply with internal and regulatory standards, and manage receptionists. This position requires flexibility due to the 24/7 operation and plays a key role in shaping the first impression of new residents.

Requirements

  • Minimum of two (2) years of administrative experience in an office setting.
  • Proficiency in Microsoft Office Suite (Word, Excel).
  • Must provide a complete and current (within six months) Vulnerable Sector Check (including a Criminal Background Check) or be willing to obtain one.

  • Customer service professional with strong administrative & accounting skills.
  • Enjoy a fast-paced environment and meeting deadlines.
  • Familiarity with Workday, Kronos, and Yardi operating systems is advantageous.
  • HR knowledge (recruitment, employee onboarding, payroll) is considered an asset.
  • Supply management and inventory control knowledge is considered an asset.

Responsibilities

  • Handle all behind-the-scenes activities within the retirement residence.
  • Engage with residents, ensuring their needs are met and addressing concerns.
  • Manage resident records, ensuring they are up to date.
  • Handle accounting functions including Accounts Receivable and Accounts Payable.
  • Process Payroll & Benefits and Scheduling accurately and timely.
  • Lead and engage team members to deliver an exceptional living experience.
  • Ensure all administrative processes comply with internal and regulatory compliance standards.
  • Maintain flexibility in schedule due to 24/7 operation.
  • Oversee receptionists, providing training and guidance.
  • Manage the reception desk when necessary.
  • Shape the first impression of new residents, both in person and over the phone.
