About The Position

The Office Manager is responsible for facilities management of the Shreveport office, as well as administrative duties. This position requires drafting professional correspondence, answering the phones, mail, data entry, event planning and set up, as well as other duties assigned. This position reports and acts as an assistant to the Regional Clinical Director and clinical coordinators.

Requirements

  • High school diploma.
  • Ability to handle multiple tasks, to be self-motivated and decisive.
  • Ability to communicate concisely and effectively, both oral and written.
  • Ability to maintain confidential information.
  • Must be well organized and efficient in the office setting.
  • Must have a warm and welcoming presence.
  • Knowledge and understanding of computer word processing programs, e-mail, and the internet.

  • Preference given to those with higher education.

Responsibilities

  • Oversee all functions of the office
  • Manage the phone, internet, and computer needs
  • Handle phone calls in a pleasant and professional manner
  • Process client and community partner requests
  • Purchase and maintain office supplies
  • Purchase and maintain office food, drinks, and snacks
  • Order and cater meals for meetings
  • Clean and prepare meeting areas
  • Office safety checks
  • Manage company credit cards and receipts
  • Manage therapy room schedules
  • Input referrals as needed
  • Review and email monthly reports and intake letters
  • Complete program discharges
  • Complete monthly file review
  • Complete monthly client experience calls
  • Manage client waitlist phone calls
  • Manage and maintain correspondence with courts (referrals, updates, and reports)
  • Maintain communication with community agencies and resource providers
  • Assist in Medicaid checks
  • Prepare reports as needed
  • Help set up and work tables or booths at community events
  • Demonstrate acceptable level of commitment to The Center’s core values and mission
  • Complete all necessary training
  • Learn about all programs The Center offers and be able to communicate it to the public when asked
  • Assist the Regional Clinical Directors, coordinators, and executives as needed and when requested
  • Complete time sheet
  • Participate in performance evaluations
  • Attend all-staff trainings and weekly Huddle
  • Other duties as assigned
