About The Position

As our Office Manager, you will own Qumulo's in-office experience for employees and guests. This includes managing snacks, kitchens and coffee, badges and building access, office events, catering, the front desk, and the vendors behind it all. This role is on-site five days a week and offers the opportunity to work with the Executive team, Marketing, HR, and Finance on a range of office projects. You will have the freedom to be creative and shape how the office space feels and the little things people look forward to.

Requirements

  • 2+ years in office management, reception, operations, administration, or equivalent experience.
  • Comfort with everyday office technology (e.g., restarting printers, conference room equipment).
  • Proficiency with Google & Microsoft office suites, Slack, and expense reporting tools (e.g., Coupa, Concur).
  • Ability to quickly learn new tools.
  • Track record of running multiple concurrent projects within timeframe and budget.
  • Attention to detail, organizational planning, and ability to work independently and prioritize.
  • Thoughtful written and verbal communication skills.
  • Proactive approach to problem-solving.
  • Composure and a sense of humor when handling multiple tasks.
  • Discretion with confidential and sensitive information.
  • Ability to move up to 50 lbs, with or without reasonable accommodation.
  • Able to work Monday-to-Friday on-site in downtown Seattle.

Nice To Haves

  • Experience with AI tools like Claude or ChatGPT to speed up routine work.
  • Availability to help with events during the day (and occasionally evenings or weekends) as needs require.

Responsibilities

  • Own the front desk and guest experience, ensuring every visitor, candidate, and staff-member feels genuinely welcome at HQ.
  • Plan and run office events, including all-hands meetings, holiday decorating, and celebrations.
  • Coordinate catering for meetings and events, including setup and cleanup.
  • Keep the kitchens, drink, and snack areas stocked and clean.
  • Order snacks, coffee, beverages, and office supplies, and manage vendor relationships.
  • Address and resolve office issues, diagnosing problems and implementing fixes.
  • Manage building and parking access and badges for staff.
  • Receive deliveries and handle outgoing mail.
  • Partner with Executive Assistants, Marketing, and other teams on projects and employee events.
