About The Position

We’re currently searching for an Office Manager to join our New Student and Family Programs team in Blacksburg, VA to help us in our mission of enhancing the student transition experience by fostering inclusive, supportive, and learning-centered experiences. You’ll be joining the New Student and Family Programs (NSFP) team, a department centered on enhancing the student transition experience by fostering inclusive, supportive, and learning-centered experiences. You’ll be reporting to the Director of New Student and Family Programs, in a Regular twelve-month, 100% University Staff appointment. You’ll serve as the primary point of contact for the New Student and Family Programs office, providing high-level administrative support to the Director of NSFP and other departmental leadership as needed. You'll act as the Human Resources liaison for professional and student staff members, along with other financial administration duties. You’ll be providing clerical and administrative support to the New Student and Family Programs office by running reports, maintaining files, processing purchase orders, managing calendars, performing supplies inventory control, fielding phone calls, etc. You’ll be working independently and collaboratively with key university stakeholders, where exceptional interpersonal/communication skills are imperative. You’ll have the chance to grow and take advantage of a developmental plan with opportunities to advance within the Department and the Division. You’ll be offered a base compensation package between $45,000 - $50,000, along with a full comprehensive benefits package that includes health insurance, paid leave, retirement, tuition assistance, VT discounts, and so much more!

Requirements

  • Associate's degree in Business Management, Office Administration, or related field, or equivalent training and/or related experience.
  • Previous office administration experience with evidence of processing complex reports, spreadsheets, invoices, payroll administration, handling confidential material, and confidential file maintenance.
  • Knowledge of standard office communications and procedures.
  • Strong bookkeeping and word processing skills with emphasis on efficiency, accuracy, and organization.
  • Excellent customer service and communications skills, both verbal and written, to a diverse group of people in a friendly, courteous manner.
  • Ability to work independently with little supervision and collaboratively within a team-based environment, prioritizing work, and performing multiple functions simultaneously.
  • Ability to professionally handle stressful, complex situations in relation to parent and student needs; to work with a diverse population; and maintain security and confidentiality of records and information.
  • Criminal conviction check required.

Nice To Haves

  • Bachelor's degree and/or equivalent related experience, education and training.
  • Previous experience in a high-volume customer service position in an academic environment.
  • Knowledge of University policies and procedures.
  • Previous office management experience.
  • Knowledge of Windows, Microsoft Office 365 and Outlook.
  • Knowledge of University Purchasing Card procedures, HokieMart, Banner (HR, Student System, Time Entry, and LMM), or similar.
  • Prior experience in Higher Education or a nonprofit/philanthropic setting.
