About The Position

Whitley Penn, a leading CPA and Consulting firm, is looking for an Office Manager to join our team. This position provides office management and administrative support to our Austin office. This position requires a deadline-driven, self-starter who can serve professionals at all levels in a client service environment while handling multiple projects simultaneously. JOB DETAILS: Classification: Full-time; Exempt Office Expectations/Hours: Fully in-office position; general work schedule is Monday – Friday, 8 hours/day between 8am to 5pm with overtime, as needed. Requirements

  • Bachelor's degree preferred.
  • 5-7 years of experience, preferably with a professional services firm.
  • Strong organizational and time management skills; ability to manage multiple priorities and projects simultaneously.
  • Intermediate to advanced Microsoft Office skills.
  • Ability to analyze problems and recommend solutions.
  • Excellent communication skills, both orally and in writing; actively listens and clearly communicates ideas and information.
  • Ability to lead and work respectfully and productively with diverse individuals in a variety of roles

Responsibilities

  • Lead office administration including maintenance of facilities and equipment, reception and support staff administration, coordination of office events and functions, breakroom refreshment stocking and general support for firm leadership.
  • Manage facility administration including building and parking access credentials.
  • Assist with staff transitions including onboarding and offboarding activities.
  • Coordinate on-site arrangements for any office relocations or remodeling.
  • Contribute actively to changes in policies, processes or procedures, using what you have experienced and learned to ensure improvement
  • Monitor team and internal staff relationships; remove barriers and help resolve conflicts to ensure seamless, high-quality outcomes
  • Serve internal clients in a consultative role with an emphasis on exceptional client service
  • Supervise, provide on-the-job training and review work of others
  • Participate in firm's performance management process by giving specific, actionable and timely feedback to team members and completing performance evaluations, providing direction and coaching to team members
  • Participate in firm training throughout the year
  • Participate in the firm’s annual performance management and goal setting process
  • Provide administrative support to the tax professionals as needed.
