About The Position

As a vital member of the Bright Futures Adoption Center team, the Office Manager ensures efficient day-to-day operations and delivers high-level administrative support to the Director of Adoption Services, Clinical Director, Clinical Adoption Supervisors, and all staff. This position reports to the Director of Adoption Services.

Requirements

  • The Office Manager must demonstrate strong organizational skills, be detail oriented and have strong written and verbal communication skills
  • Passion for event planning
  • Ability to take initiative, be a quick learner, flexible, culturally competent, and able to work independently.
  • Knowledge of filing and record keeping systems and the operation of standard office equipment.
  • Must have access to a reliable vehicle

Nice To Haves

  • Bachelor’s degree preferred
  • Some knowledge of or connection to adoption.
  • Experience with Microsoft Word, Excel, FileMaker or other similar database technology, One Drive, SharePoint and social media outlets

Responsibilities

  • Assist pre-adoptive families in meeting all requirements to become pre-adoptive parents
  • Manage annual events and special event planning, including designing invitation and event registration and donation website (Bloomerang/Qgiv), and in-kind solicitations
  • Create/layout and mail event invitations, certificates and newsletters
  • Assist in the management of Bright Futures’ website and other social media
  • Conduct application process and review for families seeking to adopt from foster care
  • Assist with tasks related to the state mandated training for pre-adoptive families, including managing access to Google drive
  • Manage IFamilyNet (the DCF computer system) for full-time staff, including initiating background checks and law enforcement checks, entering dictation, uploading supporting documents and entering assessments.
  • Manage DCF referrals, including tracking all referrals, accepting referrals and submitting completed assessments
  • Create, maintain and keep adoption files up to date and in accordance with applicable regulations
  • Prepare information packets and other promotional materials
  • Maintain databases and track client information
  • Provide outreach and marketing to the community regarding program services
  • General clerical duties including photocopying, faxing and mailing
  • Attend staff meetings as needed and record and distribute minutes of meetings
  • Enter payroll
  • Answer the telephone, gather needed information from the caller and transfer line to the answering service or other staff as needed
  • Manage SignNow which is an online document completion system
  • Work closely with collaterals to obtain medical records and other references for child assessments
  • Request medical records for newborns and birth parents
  • Assist in obtaining Mass Health benefits for newborns
  • Request birth certificates
  • Handle assigned financial tasks, including tracking revenue received (infant and DCF), donations received, processing bill payment, and tracking credit card expenses
  • Attend all appropriate training sessions required by RFK Community Alliance
  • Perform other reasonable duties as requested by the Director of Adoption Services
