Requirements

  • High school diploma or equivalent GED required.
  • Five or more (5+) years of administrative services experience with management responsibility.
  • Satisfactory driving record as determined by the Company and a current, valid State driver's license.

Nice To Haves

  • Associate's degree in office administration or related field preferred.
  • Familiarity with MS Office Suite (Word, Excel, PowerPoint, Outlook) preferred.

Responsibilities

  • Receive broad guidance from senior-level management relating to overall key objectives, critical issues, new concepts, and policy matters and general parameters for execution.
  • Manage people and processes to ensure effective execution.
  • Review work produced by staff for quality assurance.
  • Serve as liaison to Human Resources, Finance and Marketing Departments.
  • Provide administrative support to the Branch Manager and others, as assigned.
  • In coordination with corporate accounting department, support office/business unit financial objectives through review and tracking of vendor and/or client invoices to ensure timely processing and payment.
  • May assist in requesting or preparing reports for office/business unit leadership.
  • Plan, direct and coordinate administrative services for the office including facilities management, office equipment, mail distribution system, and phone system.
  • Oversee the maintenance of all office equipment in branch facility so functionality is always maintained.
  • Initiate, negotiate, and establish relationships with property management and vendors who service the building and equipment.
  • Manage the reception area to ensure effective telephone and mail communications both internally and externally.
  • Organize and maintain an office filing system.
  • Update mailing lists and contact databases.
  • Serve as liaison to Human Resources Department for people and paperwork processes.
  • Serve as liaison to Finance Department for certain accounting processes.
  • Serve as liaison to Marketing Department for certain paperwork processes.
  • Manage administrative support staff.
