Requirements

  • Front desk experience in a medical setting (physician practice or urgent care preferred)
  • Proven supervisory or leadership experience
  • Strong problem-solving and conflict resolution abilities
  • Excellent communication and active listening skills
  • Highly organized with exceptional time management
  • Strategic thinker with a hands-on, team-first mindset
  • Professional, reliable, and able to maintain confidentiality

Nice To Haves

  • Bachelor's Degree, preferred
  • EMR experience (Athena a plus, but not required—we'll train the right person)

Responsibilities

  • Oversee and coordinate daily operations in partnership with the Practice Manager
  • Create and manage staff schedules to align with patient demand and optimize workflow
  • Monitor provider schedules to maximize access and support same-day appointments
  • Supervise front office staff and medical assistants, providing guidance and support
  • Step in as needed—this is a hands-on role with front desk responsibilities during peak times
  • Review and manage PTO requests in alignment with company policy
  • Support payroll preparation and administrative processes
  • Maintain inventory of clinical and office supplies
  • Lead staff engagement initiatives and help cultivate a professional, positive clinic culture
  • Assist with recruiting, hiring, onboarding, and performance management
  • Coordinate staff training, including compliance and emergency preparedness
  • Support marketing and growth initiatives within the community
  • Ensure compliance with regulatory standards, safety protocols, and internal policies
  • Help lead team meetings and contribute to continuous improvement efforts
