About The Position

Global Prairie is seeking an Office Manager for their Washington, D.C. office. This role is part-time, requiring 10-15 hours per week, with availability on Tuesdays, Wednesdays, and Thursdays onsite. The Office Manager will be responsible for ensuring office operations and procedures are organized, managing office services and facilities, and serving as the primary point person for all office-related tasks. This includes handling correspondence, clerical functions, answering the phone, building maintenance, shipments, orders, equipment, and general office upkeep. The role also involves fostering vendor relationships, providing excellent service to visitors, collaborating with the People & Operations team on office policies and special events, and managing onsite meetings and events. The ideal candidate will have a proactive, detail-oriented, and organized approach, with strong problem-solving skills and a trustworthy demeanor.

Responsibilities

  • Manage office services, facilities, and efficiencies in the Washington, D.C. office.
  • Ensure office operations and procedures are organized, correspondence is controlled, and clerical functions are properly executed and maintained.
  • Serve as the primary point person for all Washington, D.C. office related responsibilities and tasks, including answering the phone, building maintenance, shipments, orders, equipment, and errands.
  • Manage all day-to-day Washington, D.C. office tasks, such as dishes, mail, stocking the coffee bar, replenishing snack offerings, general cleaning and organizing, ordering and stocking office supplies, managing parking, watering plants, coordinating floral orders, and overseeing building maintenance/repairs.
  • Foster strong relationships with vendors, service providers, and Global Prairie partners, including property management, caterers, couriers, transportation services, florists, and other building service providers.
  • Provide excellent support and friendly service to all Washington, D.C. office visitors and guests.
  • In collaboration with the People & Operations team, help design and implement office policies and procedures, ensuring local and company-wide efficiencies.
  • Liaise with all appropriate vendors and Global Prairie employee-owners to ensure all onsite meetings and events run smoothly and clients and guests have a world-class experience.
  • Manage all onsite meetings and events, including preparation, set-up, tear down, and follow-up processes.
  • Collaborate with the People & Operations team on special events such as employee-owner birthdays/anniversaries, milestone celebrations, annual holiday parties, client happy hours, and onsite community events.
  • Assume additional responsibilities/duties as assigned.
