Requirements

  • Demonstrated ability and aptitude to perform the responsibilities listed.
  • High school diploma or equivalent; additional secretarial/business education.
  • Three years of recent secretarial/related office work experience.
  • Typing skills – 50 words per minute accurately.
  • Demonstrated excellence of current grammar, punctuation, spelling practices, word usage, proofreading, and statistics.
  • Demonstrated skills in written and oral communication.
  • Demonstrated accuracy in record keeping and maintaining budgets.
  • Demonstrated organizational skills.
  • Demonstrated ability to utilize a variety of software programs such as Windows, which includes MS Word or WordPerfect, Powerpoint, Publisher or related software, IFAS, payroll software, Excel or spreadsheet software, Nutrition Services food program software, School Dude, and PowerSchool.
  • Knowledge of additional office equipment specific to the position.
  • Demonstrated ability in prioritizing and delegating workload in a busy office environment.
  • Ability to work independently and initiate, in a timely manner, all appropriate projects.
  • Demonstrated personal characteristics of flexibility, high-stress tolerance, reliability, punctuality, and dependability.
  • Relates positively to youth and adults of varying socioeconomic, cultural and ethnic backgrounds.
  • Demonstrated ability to work positively and effectively with a diverse group of staff and the general public in a confidential manner.

Nice To Haves

  • Two years of school district experience preferred.
  • Familiarity with insurance claims processing and district transportation system preferred.

Responsibilities

  • Perform administrative support and secretarial duties for the Director Transportation and supervisory employees of the department and prioritize workload of same.
  • Maintain a professional, helpful, positive, optimistic demeanor during all interpersonal and telephone encounters.
  • Exercise discretion and maintain confidentiality when performing tasks.
  • Assist parents, students, families, staff, and outside agencies and provide receptionist duties for the Transportation Department.
  • Field "upset" parent calls following protocol and transcribe call narrative for director, managers or supervisors for further action.
  • Provide assistance to transportation specialists in selected areas related to transportation duties and functions, including communications through the two-way radio to assist in operations when needed.
  • Process various accounting data and assist in development of department's budget as well as assist in the billing and reporting processes related to transportation.
  • Perform office management and maintain office payroll data, submitting payroll to directors for review and signature.
  • Monthly payroll which includes coordination of reports of absence, leaves, vacation, and all other information relative to work assignments.
  • Accurately enter data for department, tracking all payroll entries.
  • Assist routers and supervisors in preparation of route bid and posting of vacant assignments.
  • Maintain up-to-date office files for Transportation department.
  • Coordinate and prepare any and all classes required for maintaining a school bus driver authorization involving district employees under the requirements of district and state policy.
  • Maintain appropriate driver credentials and Inservice records through the EDS program.
  • Process all bus requests and bus pass requests.
  • Facilitate the gathering and processing of all public record requests.
  • Maintain director's calendar and schedule appointments without prior clearance and assure that director is briefed on matters to be discussed during appointments or meetings.
  • Make all travel arrangements for director and other staff in department and complete travel authorization and reimbursement forms.
  • Order supplies and equipment for office according to established procedures.
  • Open, review, and distribute all office mail and review and edit all correspondence and documents.
  • Other related duties as assigned.
