About The Position

Harlem Children’s Zone (HCZ) — a world-renowned education and poverty-fighting organization based in New York — seeks an enthusiastic, dedicated, and mission-aligned Office Manager to join the Information Technology department. The Office Manager will bring a passion for the mission of Harlem Children’s Zone: break the cycle of intergenerational poverty with comprehensive, on-the-ground programming that builds up opportunities for children and families to thrive in school, work, and life. Reporting to the Managing Director of IT, the main objective of the IT Office Manager will be to serve as the primary point of contact for all administrative needs for the IT Department. The ideal candidate will have experience in a fast-paced office setting and be highly organized, customer service-oriented, and familiar with technology systems. Requirements

  • Bachelor’s Degree
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Highly organized and efficient
  • Excellent customer service and interpersonal skills
  • Excellent communication skills, both written and interpersonal
  • Detail-oriented, with strong problem solving and decision-making skills
  • Strong work ethic, with ability to multi-task in a fast-paced environment
  • Excellent judgment and discretion regarding sensitive and/or confidential information
  • Familiar with information technology terminology

Responsibilities

  • Establish procurement procedures in line with HCZ policies to manage department office supply needs and org-wide hardware/software purchases
  • Reconcile invoices for the department and org-wide billing for IT-related services
  • Support IT staff with procurement and deliver effective training on processes
  • Ordering of maintenance and office supplies for their assigned location and bulk purchases of IT equipment for the organization
  • Ensure that orders received are tracked and accounted for
  • Coordinate equipment transport and deployment
  • Manage relationships with relevant external partners, including building management, vendors, catering, storage, etc., and serve as a liaison between techs and vendors when necessary
  • Collaborate with HR, the Managing Director of IT, and department leadership to assist with IT talent acquisition
  • Collaborate with department leadership to plan in-house or off-site activities, such as trainings, conferences, team building, etc
  • Produce and create regular reports for the Managing Director
  • Manage administrative and office supply spending to ensure purchases stay within budget and identify opportunities for cost savings
  • Greet IT office visitors, assess their needs, and provide assistance when possible or escalate to the appropriate team members
  • Complete other tasks and special projects as requested
