About The Position

Aston Carter is partnering with a growing Manufacturing company that is seeking an individual experienced in customer-focused positions to act as an Office Manager/HR Assistant. This position is responsible for managing and supervising the business office functions in Libertyville. This position's responsibilities include handling and managing questions/inquiries from our employees, acting as a vendor liaison, using professional expertise, applies company policies and procedures to resolve a variety of issues. Determines a course of action based on guidelines and modifies processes and methods as required. Exercises judgment within defined procedures and practices to determine appropriate action. Applies learned techniques and contributes to analysis and investigation to solve problems.

Requirements

  • Bachelor's Degree (Human Resources, Business Administration, or related)
  • Basic Excel and general Microsoft Office skills
  • Strong organizational and multitasking ability
  • Interpersonal skills
  • Resourceful
  • Ability to operate in a fast-paced environment and pivot quickly

Nice To Haves

  • Bilingual in Spanish/english
  • Experience with vendor management or scheduling
  • Prior administrative or executive assistant experience
  • 2–3 years of experience or relevant internships

Responsibilities

  • Handle sensitive and confidential matters, including employee relations, organizational changes, and compliance with labor laws.
  • Diligently work towards the completion of special projects, requests, and assignments.
  • Assist in onboarding and orientation by preparing offer letters, initiating the onboarding process, and managing the progress of candidates and manager tasks.
  • Greet and assist visitors/customers and enable key cards as requested by employees and vendors.
  • Manage multiple projects, prioritize, and track deadlines independently and as part of a team in a busy environment.
  • Oversee maintenance of office facilities by coordinating repairs and managing relationships with service providers.
  • Prepare requests by working with hiring managers to compile necessary information.
  • Ensure employee files are maintained according to company policies and federal, state, and local regulations.
  • Plan and execute employee engagement events.
  • Troubleshoot problems and follow through to resolution.
  • Abide by all company policies as outlined in the employee handbook.
