About The Position

The role is responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency. Provides day-to-day operational, technical and problem-solving leadership on administrative matters including, but not limited to: patient flow, office operations, customer service, health insurance, billing/coding requirements, and EMR functionality and utilization. Supervises the administrative and clinical staff and practice operations including scheduling, work flow, service delivery and employee performance. Supervises the administrative and clinical team members. Coordinates coverage assignments to support incoming requests. Serves as primary resource to team members for standard work concerns, EOC and PSC Pillar updates and EMR functionality and utilization. Ensures all staff members communicate and interact with patients in a courteous, respectful, and businesslike manner by performing leadership rounding. Holds staff accountable for customer service standards; intercedes and takes appropriate action when incidents occur. Ensures team members comply with HIPAA requirements. Maintains and adjusts staff schedules to compliment practice coverage. Communicates with staff regarding new policies and procedures, changes in billing and insurance policies, and any other issues related to the operation of the medical group practices. Processes time worked/attendance into Kronos timekeeping system for team members and coordinates vacation and personal time off to ensure minimum disruption of team coverage to medical group practices. Responsible for ensuring adherence to organizational policies, procedures and regulatory standards. Participates in interviewing candidates and makes hiring recommendations in collaboration with the Practice Administrator. Insures that all staff members communicate and interact with patients in a courteous, respectful, and businesslike manner. Performs skill matrix review bi-annually and makes appropriate training recommendations and arrangements. Coordinates necessary training across the Medical Group at the time of onboarding and as identified. Conducts new hire welcome call Assists with employee performance appraisals, disciplinary issues, and participates in counseling sessions/disciplinary actions, and involves Practice Administrator as necessary. Facilitates monthly team calls. Travel is required within the state of Connecticut.

Requirements

  • 3 years of experience in a medical/surgical practice required.
  • Strong communications skills required.
  • Experience in a leading role required.

Nice To Haves

  • High School Diploma or equivalent preferred.
  • Bachelor’s Degree and/or appropriate certification preferred.
  • Epic experience preferred.
  • Previous management/supervisory or leadership experience preferred.
  • Ability to improve quality and productivity by identifying improvement opportunities.
  • Knowledge and behaviors required to meet age specific patient needs (e.g. Pediatrics, Adolescents, and Geriatrics) preferred.
