About The Position

The Administrative Assistant / Office Manager plays a critical role in ensuring smooth day-to-day office operations while providing high-level administrative support to leadership and staff. This position requires a proactive, detail-oriented professional who excels at multitasking, organization, and communication. The ideal candidate will manage office systems, coordinate schedules and resources, and serve as a central point of contact to help maintain an efficient, well-functioning workplace.

Requirements

  • 3+ years Administrative or office management experience
  • HS Diploma/ GED
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and time management skills
  • Excellent verbal and written communication abilities
  • Ability to handle sensitive and confidential matters with discretion
  • Self-motivated with strong attention to detail
  • Strong knowledge of administrative protocols and disciplines and experience working with a variety of departments and management levels
  • Experience with office management tools or project management software
  • High level of service-orientation and responsiveness is essential
  • Strong problem-solving and decision-making skills
  • Ability to work independently and prioritize tasks effectively

Responsibilities

  • Provide general administrative support to leadership and team members
  • Handle incoming communications, including phone calls and emails
  • Greet in-person guests and customers, and direct as appropriate
  • Manage office supplies inventory and place orders as needed
  • Manage janitorial supplies and place orders as necessary
  • Maintain accurate records and documentation for office expenses
  • Coordinate office maintenance, vendors, and service providers
  • Manage breakroom supplies and reorder/restock as necessary
  • Assist with onboarding new employees and preparing workspaces and materials
  • Ensure the office environment is clean, organized, and fully functional
  • Post monthly birthday and anniversary’s
  • Support and plan company events, meetings, and team activities (holiday activities)
  • Coordinate travel arrangements and logistics when required
  • Assist with copies, scanning and similar duties as required
  • Foster a positive office culture and facilitate team communication
  • Prepare for Board Meetings and Customer Visits as directed
  • Special projects as assigned
  • Additional duties and responsibilities as required
