Requirements

  • At least 18 years of age.
  • At least 2 years of experience in an office environment.
  • Demonstrated knowledge of basic word processing tasks.
  • Able to type and file with an exceptional level of accuracy.
  • Highly organized and strong attention to detail.
  • Able to maintain accurate and complete records.
  • Able to develop trust and rapport through in-person meetings and contacts with customers, staff and stakeholders.
  • Able to communicate clearly and respectfully with individuals with intellectual/developmental disabilities, families, service providers and the general public.
  • Able to remain calm when clients become anxious or experience challenging behavior.
  • Able to maintain confidential information.
  • Able to work under stress and able to multitask.
  • Able to manage time independently and work without direct supervision.
  • Able to pass a Criminal History Check, meeting the State’s requirements.
  • Possess a valid driver’s license, reliable transportation, and maintenance of a good driving record.
  • Must be able to frequently drive personal vehicle for extensive local and in-state travel, as well as occasional out of state travel.
  • Able to lift 10 lbs.

Nice To Haves

  • A bachelor’s degree in any field.
  • Experience with digital filing systems.
  • Supervisory experience.
  • Bilingual in English and Spanish.
  • Working knowledge of the service delivery system designed to support persons with intellectual/developmental disabilities and their families in the state of Oregon.
  • General knowledge of interviewing techniques.

Responsibilities

  • Train, mentor and supervise a small team across 2 offices.
  • Be present and available for in-person meetings with staff and customers.
  • Provide technical assistance to team members regarding agency, state and federal requirements.
  • Provide Quality Assurance guidance and support related to data entry and operational procedures.
  • Record data and store documentation in state and agency data systems.
  • Monitor the needs of the office and request purchases as needed.
  • Serve as a member of the Leadership Team and participate in leadership meetings.
  • Serve as the liaison between the Office Team and Management.
  • Assist with special projects and storage of information as needed.
  • Aware of all Office Team roles and able to provide back-up supports when team members are absent.
