About The Position

Responsible for ensuring the smooth and efficient day-to-day operation of the branch office by providing administrative and operational support to branch management, employees, and applicants. Responsibilities include general office administration, recruiting and hiring support, scheduling, employee records, compliance, and other branch operational needs.

Requirements

  • High school diploma or equivalent required
  • Ability to read and interpret company policies, procedures, safety rules, operating instructions, and other business documents.
  • Ability to prepare routine reports and correspondence and communicate professionally and effectively with applicants, employees, clients, management, and members of the public in person, by telephone, and electronically.
  • Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals.
  • Ability to compute rates, ratios, and percentages and interpret basic numerical information and reports.
  • Ability to apply common-sense understanding to carry out written and oral instructions.
  • Ability to exercise sound judgment, prioritize competing responsibilities, address routine problems independently, and recognize when matters should be escalated to management.
  • Ability to adapt to changing priorities and operational needs in a fast-paced work environment.
  • Knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and SharePoint.
  • Must become proficient in company systems used for employee scheduling, payroll processing, recruiting, hiring, employee records, and other branch administrative functions.
  • Must be able to become certified to operate Live Scan or similarly required fingerprinting equipment when applicable to branch operations.
  • Must be able to operate standard office equipment, including multi-line telephone systems, computers, printers, scanners, and copiers.

Nice To Haves

  • Associate degree or higher preferred.
  • Two or more years of administrative, office management, human resources, recruiting, scheduling, or related experience preferred.
  • Prior experience working in a fast-paced office environment with responsibility for multiple administrative and operational functions preferred.
  • Experience with employee scheduling, applicant processing, onboarding, or compliance documentation is preferred but not required.
  • Must demonstrate strong organizational and time-management skills, professionalism and discretion when handling confidential information, and the ability to prioritize multiple responsibilities and respond to changing operational needs.

Responsibilities

  • Directs and manages day-to-day branch office functions in an efficient and organized manner.
  • Provides administrative and operational support to branch management and assists with branch needs as assigned.
  • Assists with branch recruiting and hiring efforts, including communicating with applicants, coordinating interviews, assisting with applicant processing, and supporting onboarding activities.
  • Assists with employee scheduling, including shift assignments, schedule changes, call-offs, replacements, and other scheduling needs based on staffing and operational requirements.
  • Answers multi-line telephone system, takes accurate messages, responds to general inquiries, and screens and directs telephone calls in a professional manner.
  • Maintains branch office files and employee records in an organized and accessible manner, including updating information, filing documentation, and maintaining records in accordance with company retention requirements.
  • Assists with branch compliance needs, including collecting, reviewing, tracking, and maintaining required employee documentation, licenses, certifications, training records, and other compliance-related information as needed.
  • Assists with monitoring outstanding or expiring employee documentation, follows up with employees as needed, and communicates compliance concerns to branch management and/or the appropriate Corporate department.
  • Interacts professionally with applicants, employees, clients, and management and maintains positive employee relations through consistent communication and personal contact.
  • Responds to routine inquiries regarding company policies, procedures, programs, scheduling, and other general employment matters and refers matters requiring additional guidance to the appropriate member of management or Corporate Human Resources.
  • Prepares correspondence, office memos, reports, and other documentation as needed.
  • Inventories and orders office supplies and coordinates office equipment repairs and maintenance as needed.
  • Advises branch management of administrative, employee, scheduling, compliance, or operational issues in a timely manner.
  • Assists with Human Resources-related administrative needs and processes as assigned by branch management and/or Corporate Human Resources.
  • Maintains confidentiality of applicant, employee, client, and company information.
  • Assists with maintaining branch safety programs, reports unsafe practices or conditions, and may assist with ensuring employees meet applicable uniform and appearance requirements.
  • May travel to various job sites to provide supervision, administrative support, or field representation as directed by branch management.
  • Performs other related duties as assigned.
