About The Position

This Opportunity WSP is currently initiating a search for an Office Engineer/Assistant Project Manager. This role will report full-time to our client’s office at 2 Broadway in Manhattan. Be involved in projects with our Project Controls & Technology Team and be a part of a growing organization that meets our client’s objectives and solves their challenges.

Requirements

  • Bachelor's degree or equivalent work experience (4 years in a business environment)
  • Minimum of three (3) years of experience as an administrative assistant or document control clerk with a Consultant Construction Manager or a construction organization
  • Must have the ability to work onsite 5 days per week
  • Experience working on Design, Pre-Construction, Construction and Closeout or similar projects preferred
  • Advanced computer and word processing skills using MS Office applications
  • Excellent interpersonal, written and verbal communication skills
  • Ability to coordinate several high-priority deadlines simultaneously and demonstrate flexibility when priorities change
  • Excellent organizational & prioritizing skills with the ability to multitask

Responsibilities

  • Work under the Project Manager to support the Project vision and initiatives.
  • Implement efficient work-flow process, monitor daily activity, implement modifications.
  • Assist in preparing, formatting, and distributing memos, letters, and reports.
  • Maintain filing systems and ensure proper documentation of contractor records.
  • Maintain documentation in SharePoint or similar Electronic Document Management System (EDMS).
  • Support timecard collection, coordinate with field personnel, and prepare invoice packages
  • Monitor inventory of supplies and assist with procurement as needed.
  • Assist with internal documentation requests and scanning of program files.
  • Prepare project-related meeting agendas, attendance sheets, meeting summaries, and daily reports for field and office staff.
  • Maintain shared folders, logs, and databases in coordination with the Data Administrator.
  • Track distribution of safety materials, toolbox forms, and compliance notices.
  • Support onboarding of new hires (forms, checklist completion, credential requests)
  • Provide backup support to Data Administrator when needed.
  • Support daily report consolidation, contractor access forms, and safety toolbox submissions.
  • Communicate with project team members.
  • Develop and maintain spreadsheets and databases for correspondence logs and progress reports.
  • Generate presentations, as directed by the Project Manager.
  • Develop and maintain strong client relationships.
  • Perform other duties as assigned.
