About The Position

The Office Coordinator position is responsible for managing the day-to-day operations of the office, executive calendar management and sales and operations support.

Responsibilities

  • Answer phones, maintain a neat and clean office environment, open and distribute mail, coordinate shipping and receiving, data entry, filing, binding, order office supplies, stock kitchen, and maintain office space and equipment
  • Schedule meetings for large groups
  • Oversee record retention and maintenance of file system
  • Coordinate all office visits
  • Process all Non-Disclosure Agreements
  • Coordinate new computer orders and track all hardware
  • Serve as main contact for all building facility vendors and issues
  • Serve as point of contact for external IT vendor as it relates to on/offboarding and equipment
  • Manage specific vendor relationships
  • Maintain office security access
  • Coordinate and schedule all company events
  • Manage Logistics for all employee events
  • Book travel
  • Assist with recruiting efforts, conduct phone screens, coordinate on-site interviews, and serve as main contact for internship programs
  • Facilitate new hire employee orientation and documentation for all incoming employees
  • Manage the employee termination process
  • Other duties as requested
  • Maintain/Manage President’s calendar
  • Support President and COO as requested
  • Complete customer screenings
  • Manage visitor control and tracking procedure
  • Attend Conferences as requested and assist with event logistics
  • Assist in selecting and managing inventory of promotional items
