About The Position

We’re seeking a part-time Office Coordinator to own day-to-day operations for our Montreal office. Working with the Operations Manager, the Office Coordinator will support workplace logistics, ensuring office activities remain uninterrupted amidst the growth of Xona’s Montreal team. Overseeing a range of office duties from event, catering and office supply management, to vendor, visitor, and shipping and receiving coordination, the ideal candidate is a driven learner with a penchant for creativity and efficient execution.

Requirements

  • 0-2 years of experience with office or workplace coordination. This is an early-career opportunity for an individual eager to be exposed to a wide range of business operations and industry-related practices.
  • Conscientious and professional communication abilities, with the good judgement required to act as a trusted representative of company leadership.
  • Fluent in French and English, with the ability to support both local and global partners.

Responsibilities

  • Provide administrative support and maintain accurate records to support day-to-day proceedings around the office
  • Monitor office supplies including stationary, snacks, and consumables, and oversee management of the of the weekly employee lunch program
  • Oversee visitor coordinator by inviting, registering, and greeting external visitors
  • Support employee onboarding by preparing workstations, supplies, and orientation logistics, helping new hires transition smoothly into the Montreal office
  • Handle daily shipping and receiving logistics: ensure timely processing, tracking, and delivery of packages and equipment.
  • Plan, coordinate, and execute internal office events, monthly offsite 5 à 7 events, and support ERG meetings.
  • Act as the dedicated point of contact for recurring office services including maintenance, building administrators, and janitorial services
