About The Position

This position provides administrative support functions for the Division and will be responsible for administering the Electric Vehicle Replacement Assistance Program (EVRAP) in Salt Lake County. The role involves processing applications, issuing vouchers, collaborating with dealerships and recyclers, and maintaining meticulous records.

Requirements

  • Three (3) years of office administrative support experience; OR an equivalent combination of related education and experience.
  • Must be bilingual in English and Spanish, and requires reading, writing, and speaking both English and Spanish fluently without the use of a translation app or program.
  • Must pass a required background check through fingerprinting and enrollment in the continuous RAP Back (Record of Arrest and Prosecution Back) program.
  • Knowledge of Business English and mathematics.
  • Knowledge of Advanced word processing and spreadsheet software applications.
  • Knowledge of Record and report preparation, maintenance, archiving, and filing.
  • Knowledge of Professional telephone and customer service etiquette.
  • Knowledge of Filing methods and techniques.
  • Ability to Mentor administrative support staff.
  • Ability to Follow verbal and written procedures and instructions.
  • Ability to Communicate effectively both verbally and in writing.
  • Ability to Organize workloads and prioritize tasks to adhere to deadlines.
  • Ability to Work independently under minimal supervision.
  • Ability to Develop, implement, and maintain filing and recordkeeping systems.
  • Ability to Interpret and apply policies and procedures.
  • Ability to Operate standard office equipment.

Responsibilities

  • Provides administrative support for Division leadership, committees, councils, boards, and assigned work groups.
  • Takes minutes during meetings, transcribes documents, and maintains records of actions.
  • Composes a variety of correspondence, documents, and reports; formats, proofreads, and edits.
  • Provides customer service by answering phones, greeting visitors, relaying messages, and distributing forms, documentation, and information.
  • Maintains calendars and schedules.
  • Acts as an administrative liaison to other County agencies and external stakeholders.
  • Prepares and maintains administrative documents including regulations, enforcement files, adjudicative appeals and legal requests for the division.
  • Serves as Records Coordinator complying with GRAMA and all related policies and procedures.
  • Develops, maintains, organizes, stores, and monitors reports, correspondence, files, forms, and documents.
  • Processes travel to include completing the initial travel request forms and, where appropriate, making hotel reservations, airline reservations, and car rental reservations.
  • Coordinates all aspects of assigned events and meetings.
  • Collects, researches, analyzes, and organizes materials and information for projects and reports.
  • Acts as back up support to office clerical staff.
  • Administering the Electric Vehicle Replacement Assistance Program (EVRAP) in Salt Lake County.
  • Processing applications, issuing vouchers, working with dealerships and recyclers, and keeping careful records for EVRAP.
