About The Position

Centerstone is a leading nonprofit behavioral health system dedicated to providing life-changing care. The Cohen Clinic, part of the Cohen Veterans Network, offers high-quality, evidence-based outpatient mental health treatment specifically for veterans and their families. This role supports a multidisciplinary team by managing patient registration, scheduling, administrative tasks, and serving as the primary receptionist. Requirements

  • High school diploma or GED
  • Prior experience within the military community and/or veteran administrative organizations.
  • Effectively communicate via written, verbal, in person and virtual methods.
  • Good verbal communication skills, poise and ability to handle high volume telephone duty.
  • Typing, filing, and general office skills required.
  • PC literate with knowledge of MS software.
  • Intermediate level on MS Excel, Email and word processing programs.
  • Ability to utilize Internet for resources.
  • Willingness to learn new functions.
  • Strong consultative abilities, conflict-resolution skills, and leadership abilities.
  • Able to analyze problems, identify alternative solutions, project consequences of proposed actions, and implement recommendations in support of goals.
  • Communicates clearly and concisely, both orally and in writing.
  • Demonstrated ability to establish and maintain effective working relationships.
  • Analytical skills, professional acumen, business ethics and, thorough understanding of continuous improvement processes.

Responsibilities

  • Operate the main switchboard by answering incoming calls and routing them to appropriate staff members.
  • Serve as the main receptionist, greeting and directing visitors, clients, and staff.
  • Copy photo identification and insurance information for client files.
  • Serve as primary back-up for staff in taking and distributing messages.
  • Report and coordinate repairs for the telephone system.
  • Maintain current information on clinic and community services.
  • Provide general back-up to administrative staff with tasks such as faxing, preparing documentation, copying, and meeting preparation.
  • Serve as the primary mail clerk for sorting and distributing incoming mail, posting outgoing mail, and managing daily mail pick-up and drop-off.
  • Aid in retrieving, sorting, and distributing faxes.
  • Participate in the managed care billing process, including discussing insurance co-payments.
  • Maintain a daily log of accounts receivable checks and consumer checks.
  • Present a professional and calm demeanor when interacting with potentially agitated or stressed individuals.
  • Perform other duties as assigned.
