About The Position

Monmouth University is seeking applications for an Office Coordinator in the Health and Physical Education department - the School of Nursing and Health Studies' largest department. The Office Coordinator serves as the primary contact for the department and plays a central role in maintaining assessment records, supporting documentation workflows, and ensuring continuity of data systems across semesters and academic cycles. The Office Coordinator also supports the many internship programs for students. This is an in-person, on-campus, non-remote position. Requirements

  • 3 plus years of related experience.
  • Excellent interpersonal, organizational and communication skills.
  • Must be able to treat confidential and sensitive information appropriately.
  • Basic Knowledge of MS Word 2016
  • Basic Knowledge of MS Excel 2016.
  • Must be able to utilize a variety of computer software programs in order to successfully complete assigned tasks.
  • Must be able to operate a variety of office equipment.
  • Ability to work some evenings/weekends- especially for recruiting/admissions and advising events, as needed.

Responsibilities

  • Serve as the primary administrative contact for the department, resolving complex student and faculty issues; coordinate problem-solving across offices when needed.
  • Coordinate and manage departmental meetings and operational workflows from scheduling through documentation and follow-up.
  • Develop, maintain, and ensure accuracy of documentation systems supporting academic operations, assessment workflows, and departmental continuity.
  • Maintain academic records and support advising systems by ensuring documentation integrity and coordinating processes related to registration and approvals.
  • Manage instructional materials procurement workflows and maintain purchase records and vendor coordination.
  • Design, manage, and maintain departmental data systems supporting student outcomes, assessment processes, and operations.
  • Coordinate administrative processes for faculty hiring, including documentation, interview scheduling, travel coordination, and onboarding logistics.
  • Maintain alumni and outcomes data systems supporting reporting and program evaluation.
  • Maintain coursework, assessment documentation systems, and reporting processes supporting the department’s formal assessment program (implemented post-2022).
  • Maintain internship documentation systems; support placement tracking, communications, and compliance workflows for a high-volume internship program.
  • Support departmental budget operations by maintaining purchase documentation, tracking expenditure workflows, and organizing financial records.
  • Recruit, train, supervise, and approve timesheets for student employees.
  • Review documents for quality, institutional format, and compliance with university standards.
  • Maintain departmental communication systems and record platforms; update communications infrastructure as needed.
  • Maintain confidential student, internship, and personnel documentation with professional discretion and compliance awareness.
  • Perform related administrative leadership responsibilities as assigned.
  • Role may also require some evenings/weekends- especially for recruiting/admissions and advising events.
  • Other duties as assigned.
