About The Position

The Receptionist/Office Coordinator is customer-focused and will serve as the face of our organization while ensuring the smooth day-to-day operation of our office facilities. This position is responsible for managing front office operations, coordinating administrative and facility-related functions, supporting employees and visitors, and providing administrative support to the CEO. This role functions in a fast-paced environment, takes initiative, enjoys solving problems, and can effectively manage multiple priorities while maintaining exceptional customer service.

Requirements

  • Associate's degree preferred.
  • High school diploma or equivalent required.
  • 3–5 years of administrative, office management, receptionist, or office coordinator experience preferred.
  • Experience supporting senior leadership is highly desirable.
  • Experience coordinating vendors or facilities is a plus.
  • Outstanding customer service and interpersonal skills
  • Strong organizational and multitasking abilities

Responsibilities

  • Serve as the first point of contact for visitors, customers, vendors, and training attendees.
  • Answer and direct incoming telephone calls through the main operator line.
  • Welcome guests and ensure professional, friendly reception experience.
  • Receive and process customer sample submissions.
  • Maintain a clean, organized, and professional reception and lobby area.
  • Manage visitor sign-in procedures as applicable.
  • Order and maintain office supplies and general office inventory.
  • Stock and replenish kitchen, break room, restroom, and lobby supplies.
  • Maintain beverage inventory for lobby and employee break areas.
  • Coordinate employee swag inventory and ordering.
  • Update and maintain the company employee directory.
  • Manage front entrance signage, including temporary notices and holiday hours.
  • Coordinate incoming and outgoing mail, shipping, and package distribution.
  • Maintain, order, and organize office equipment and supply areas.
  • Serve as the primary internal coordinator for office facilities, including: Elevator maintenance coordination, Parking lot maintenance, Exterior building maintenance, Janitorial service coordination, Alarm system administration, Office keys and key fob management, First aid kit inspections and restocking, Coordination of repairs with vendors and Dave Gasper, Monitoring general office appearance and functionality.
  • Serve as the primary internal point of contact for IT support requests.
  • Coordinate service calls and communicate with outside IT vendors.
  • Assist with office equipment issues (copiers, printers, conference room equipment, etc.).
  • Maintain video content displayed on the lobby monitor.
  • Coordinate company mobile phone orders, upgrades, inventory, and cellular service plans.
  • Maintain relationships with office vendors and service providers.
  • Coordinate utility-related issues and review utility invoices for accuracy.
  • Schedule routine maintenance and service appointments.
  • Track vendor contacts and service agreements.
  • Provide administrative support to the CEO, including: Calendar management as assigned, Scheduling meetings, Preparing correspondence and documents, Coordinating travel arrangements when needed, Assisting with special projects, Maintaining confidential information with professionalism and discretion.
  • Assist with company events and employee activities.
  • Support onboarding logistics for new employees as assigned.
  • Recommend improvements to office operations and administrative processes.
  • Perform additional administrative duties as assigned.
