About The Position

The Office Coordinator for the a16z crypto team in New York will play a key role in ensuring the smooth day-to-day operation of a 12-week, in-person, NYC-based program. This individual will support weekly programming, manage office logistics, and help create a welcoming and well-run environment for participants, visitors, and guests. The ideal candidate is highly organized, service-oriented, and thrives in a fast-paced, hospitality-driven setting. This is a 3-4 month temporary contract role based in New York City, NY. This role requires an in-office presence 5 days a week in our New York City, NY office.

Requirements

  • High school diploma or GED required, college degree in business administration preferred.
  • 2+ years of experience in reception and office services.
  • Front desk experience in a fast-paced, high profile environment.
  • Proficiency using G Suite products: Gmail, Google drive, Google calendar.
  • Have an unparalleled “can-do” attitude.
  • Ability to juggle multiple competing items and prioritize accordingly.
  • Be service-oriented and pay exceptional attention to detail.
  • Have phenomenal interpersonal and communication skills and be a team player.
  • Consistently punctual with an excellent attendance record.
  • Low ego, high empathy, and the capacity to collaborate effectively with diverse teams.

Nice To Haves

  • Understanding of video conferencing systems, such as Zoom, and their features preferred.

Responsibilities

  • Ensure the seamless daily operation of the office space throughout the 12-week program.
  • Manage snack and beverage, including maintaining appropriate inventory levels.
  • Oversee daily lunch orders.
  • Manage clean up of breakfast and lunch daily.
  • Reorder any necessary supplies to ensure all hospitality needs are consistently met.
  • Partner with internal stakeholders including IT, Research, Office Management, Editorial, and Events teams to ensure program needs are met.
  • Support operational workflows to maintain a well-organized and efficient office environment.
  • Help ensure meeting spaces are prepared and reset for programming and events.
  • Partner with the Program Manager to support execution of weekly experiences including seminars, activities, and hospitality events.
  • Assist with weekly seminar logistics and coordination as needed.
  • Coordinate with office building staff and the a16z crypto team to ensure smooth building access and a positive experience for all visiting guests and speakers.
  • Serve as a welcoming point of contact for participants and visitors.
  • Assist with load-in and office setup prior to program launch.
  • Support pack-up and load-out once the program concludes.
  • Provide additional operational support as needed to ensure the overall success of the program.
