Events Coordinator (Contractor)

About The Position

We're looking for a detail-oriented events consultant to own the operational backbone of our events and webinar programs on a part-time basis. You'll work closely with our Events Marketing manager to keep logistics running smoothly, ensure every program is set up for execution, and help us turn events into pipeline. This is a hands-on, cross-functional role that spans planning, coordination, and post-event follow-through.

Requirements

  • 3-5+ years of experience event coordination, marketing operations, or a similar project management role (ideally in a B2B or SaaS environment)
  • Proficiency in CRM/Marketing Automation (e.g., Salesforce, HubSpot), UTM tracking, and CMS landing page updates.
  • Strong ability to manage vendor relations, complex project timelines, and post-event lead data for sales follow-up.
  • Detail-oriented mindset for maintaining centralized calendars, executive RSVPs, and internal marketing decks.

Responsibilities

  • Build and maintain webinar registration pages, event configurations, and speaker assets
  • Organize webinar lead data and responses from webinar programs
  • Maintain event and webinar project trackers, timelines, and a centralized event calendar
  • Manage conference logistics documentation, executive dinner RSVPs, and attendee details
  • Help source and coordinate venues, vendors, and event partners
  • Support partner event outreach and coordination
  • Build tracking links and UTMs for event promotions
  • Update event landing pages with speaker details and copy changes
  • Prepare post-event attendee lists for SDR follow-up
  • Assist with event strategy and planning for key programs
  • Support post-event debriefs and surface key insights
  • Keep the marketing programs deck and planning documentation up to date
