About The Position

The Office Associate at the Ward 8 Hub will be responsible for the oversight of the front desk and reception area. The Office Associate will greet guests, answer calls, inventory supplies, input client data into spreadsheets and Apricot, provide navigation assistance, and assist with the upkeep of the space.

  • One or more years of experience in an office setting.
  • One or more years of experience working in customer service.
  • Must be authorized to work in the United States

Responsibilities

  • Greet visitors
  • Interact with clients, donors, volunteers, partners, and other community members in person and via telephone.
  • Direct calls and inquiries to staff as appropriate.
  • Checks voicemails to ensure timely response to clients.
  • Assist clients in completing intake documents.
  • Assist clients with community resources.
  • Assist clients with market bags, clothing, toiletries etc.
  • Oversee the center, community members, and participants in the space when other staff are conducting programs or appointments.
  • Manage supplies and inventory.
  • Ensure the lobby area and community room is clean and presentable for guests.
  • Assist with set-up and breakdown of activities and events.
  • Maintain intake books.
  • Input all visitor data into spreadsheets and Apricot for reporting purposes.
  • Assist with the creation of fliers.
  • Assist with resource research for the weekly email blast.
  • Provide basic resource navigation for clients.
  • Assist with biannual survey.
