About The Position

The purpose of this position is to provide high-level administrative support to ensure the efficient and effective operation of District Services departments, including Administration, Information Technology, and Financial Services. The role is responsible for managing confidential and time-sensitive materials, coordinating meetings and events, and performing a wide range of administrative functions such as purchasing, reconciliations, inventory management, and correspondence. This position provides direct support to the Senior Director of Strategic Planning & Marketing and the Chief Information Officer.

Requirements

  • Completion of an Associate’s degree is required. Experience can be substituted for education.

Responsibilities

  • Provides administrative and operational support to the Senior Director of Strategic Planning & Marketing and Board Secretary. This includes entering requisitions, reconciling purchasing cards, running reports, preparing correspondence and other materials, and maintaining department records.
  • Assists with preparing, organizing, and filing materials related to Board meetings and other Board activities.
  • Provides administrative support for strategic planning, marketing, and other district-wide projects and initiatives.
  • Assists with meetings, reports, correspondence, recordkeeping, and other duties as assigned.
  • Provides administrative and operational support to the IT Department and CIO. This includes entering requisitions, processing purchase orders and invoices, reconciling purchasing cards, and following up on orders.
  • Assists with answering the helpdesk phone, logging technology requests, and assigning requests to the appropriate IT staff.
  • Helps maintain inventory records for computers and other IT equipment.
  • Assists with developing and maintaining IT communications, documentation, and training materials.
  • Assists with project work, meetings, reports, correspondence, and other duties as assigned.
  • Assists Financial Services with the weekly accounts payable process including matching invoices to purchase orders and checks and filing and maintaining accounts payable records.
  • Assists other District Services staff as needed.
  • Works and communicates professionally with others in a timely manner.
  • Performs in a manner which benefits student learning.
  • Supports the overall success of the District by performing other duties as assigned.
