About The Position

This is a full-time position located in Portland, Maine, within the Department of Health and Human Services (DHHS), specifically supporting the Adult Protective and Public Guardianship Programs in the Office of Aging and Disability Services. The role involves providing administrative support, including scanning and uploading documents, preparing mailings, filing, record retention, e-filing court documents, answering phone calls, ordering supplies, and assisting with staff leave coverage.

Requirements

  • Competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks.
  • Ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.
  • Expert, skilled, or novice rating of skills in Outlook or comparable email applications.
  • Expert, skilled, or novice rating of skills in Excel or comparable spreadsheet applications.
  • Expert, skilled, or novice rating of skills in MS Word or comparable word processing applications.
  • Expert, skilled, or novice rating of skills in Receptionist and customer assistance by phone.
  • Expert, skilled, or novice rating of skills in Data entry (entering data and narratives).

Responsibilities

  • Scanning and uploading documents into the data platform, Evergreen.
  • Preparing certified and restricted mailings.
  • Filing, record retention, and sending files to Archive.
  • E-filing public guardianship and conservatorship petitions and documents to probate courts.
  • Answering phone calls related to OADS services.
  • Ordering office supplies.
  • Working with other staff members to ensure responsibilities are covered during staff leave time.
