About The Position

The Office Assistant serves as a key point of contact for both internal teams and external visitors, providing exceptional administrative and customer service support. This role is essential to the smooth daily operations of the office and is responsible for maintaining an organized, welcoming, and efficient front desk environment. Primary responsibilities include greeting and assisting visitors, managing incoming and outgoing mail, scheduling appointments, maintaining records, and providing general administrative support to multiple departments. The Administrative Assistant plays a vital role in ensuring timely communication, accurate documentation, and efficient workflow while supporting team members with day-to-day operational needs. The ideal candidate demonstrates strong organizational and multitasking skills, attention to detail, and the ability to manage a fast-paced environment with professionalism and courtesy. Requirements

  • Associates degree or 2 years equivalent experience
  • Ability to work independently, achieve tight deadlines and take initiative on multiple projects
  • Highly process-oriented and able to define new procedures as the needs of the business evolve
  • Strong organizational ability and strong attention to accuracy and detail; must be able to handle multiple tasks simultaneously
  • Must be a self-managing, motivated individual and have the ability to work in a deadline driven environment
  • Excellent communication skills, ability to interact with numerous departments, vendors, and clients as needed

Responsibilities

  • Serve as the first point of contact for visitors, clients, and internal staff, providing professional and courteous assistance
  • Maintain a welcoming, organized, and efficient front desk environment
  • Manage incoming and outgoing mail, deliveries, and correspondence
  • Schedule meals, events, meetings, etc as needed for multiple departments utilizing the office space
  • Maintain accurate records, files, and documentation
  • Provide general administrative support to multiple departments
  • Ensure timely communication and follow-up across teams
  • Support daily office operations and assist with special projects as assigned
  • Uphold confidentiality, professionalism, and organizational standards at all times
  • Communicate with utility providers to resolve issues, identify, and select alternatives to address outstanding issues, and work with internal staff to implement solutions
  • Process utility bill payments
  • Reconciles payments with internal database
  • Communicates with utility providers and team members
  • Research and analyze process and data to resolve issues, identify and select alternatives to address outstanding issues, and work with management to implement solutions for improvement
  • Support Account Management, Invoice Processing, Client Support, and other internal departments in resolving issues. Cultivate internal relationships to gain new knowledge and competencies
