About The Position

Hampton Primary Care is seeking an Office Assistant to join their team in Hampton, Virginia. This role is crucial for ensuring smooth patient flow and administrative operations within the practice. Responsibilities include checking in and checking out patients, verifying insurance eligibility, maintaining patient registration by properly entering and updating patient demographics within the patient registration software, greeting patients while answering multi-phone lines, scheduling/rescheduling appointments, creating/scheduling referrals, completing chart prep and providing information to and for the patients. The Office Assistant may also be asked to float to other practices within the region providing support as needed. This position promotes the Riverside Care Difference through exceptional customer service, ensuring all patients' registration and demographics information is correct and updated as needed, and completing check-in and check-out in a timely manner. The role also involves collecting payments, monitoring the daily schedule, completing clerical chart prep, and preparing visit-related documents. The Office Assistant will practice good telephone etiquette, maintain referrals and insurance information, obtain insurance authorizations, and recommend process improvements to the practice manager. Maintaining the appearance and cleanliness of the reception area and actively engaging in team huddles and staff meetings are also key aspects of this role.

Requirements

  • High School Diploma or GED, Minimum (Required)

Responsibilities

  • Checking in and checking out patients
  • Verifying insurance eligibility
  • Maintaining patient registration by properly entering and updating patient demographics within the patient registration software

  • Collecting payments from patients regarding appointments, forms, or past due balances
  • Monitoring daily schedule including scheduling/rescheduling appointments, when necessary, i.e. doctor’s illness, meetings, or vacation
  • Completing clerical chart prep, prepares and prints visit related documents, i.e. consents, receipts, visit summaries, etc.
  • Promoting the Riverside Care Difference through exceptional customer service
  • Greeting all participants to the practice with immediate acknowledgment with eye contact and smile
  • Managing patient expectations with clear explanations
  • Using good telephone etiquette including 4-part greeting and 3 rings or less guideline
  • Practicing warm transfer and proper on-hold techniques
  • Maintaining referrals and insurance information
  • Obtaining referrals or schedules referrals upon receipt from referring location
  • Ensuring referrals are attached with an approved insurance authorization
  • Obtaining insurance authorizations as necessary
  • Recommending to practice manager any process improvements needed to improve quality of service
  • Maintaining appearance and cleanliness of the reception area
  • Actively engaging in team huddles and staff meetings
