About The Position

The Office Associate plays a vital role in supporting the daily operations of the Home Care Help caregiver staffing agency. This position is responsible for assisting with coordinating client services and providing administrative support to ensure smooth office workflow. The ideal candidate is organized, detail-oriented, and able to communicate effectively with caregivers, clients, and office staff.

Requirements

  • High school diploma or equivalent required.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and manage shifting priorities in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Professional phone etiquette and strong interpersonal skills.
  • Dependable, reliable, and able to maintain confidentiality.
  • Must possess a valid driver's license, maintain a satisfactory driving record, and have reliable transportation to perform job-related travel as required.
  • Strong problem-solving skills and the ability to remain calm when handling last-minute changes.
  • Team-oriented with the ability to work independently.

Nice To Haves

  • Some college coursework preferred.
  • Prior office, customer service, scheduling, or administrative experience preferred but not required (training provided).
  • Experience with scheduling software is preferred.

Responsibilities

  • Answer and direct incoming calls in a professional and courteous manner.
  • Maintain accurate client and caregiver records within company systems.
  • Assist with onboarding paperwork and documentation for new caregivers.
  • Support the office team and recruitment team with filing, data entry, document preparation, and other administrative tasks.
  • Coordinate client assessments at client residences, facilities, or other designated locations.
  • Conduct and maintain scheduled client assessments to ensure services meet client needs and company standards.
  • Coordinate and facilitate caregiver introductions with clients and their families to support successful care transitions and continuity of care.
  • Maintain communication with clients, families, and caregivers regarding assessment outcomes, service updates, and care needs.
  • Document assessment findings and caregiver introductions accurately in company records and systems.
  • Provide excellent customer service by addressing client inquiries and caregiver concerns promptly and professionally.
  • Communicate effectively with clients, caregivers, and team members.
  • Escalate urgent issues or concerns to management as appropriate.
