About The Position

The Office Assistant is responsible for providing document support for the organization. Core responsibilities include handling and coordination of confidential patient records, as well as customer service to internal and external contacts. Estimated Hiring Range: $20.51 - $25.06 Bonus Target: Bonus - SIP Target, 5% Annual Current CareOregon Employees: Please use the internal Workday site to submit an application for this job.

Requirements

  • Minimum 2 years’ experience working in a medical front office, health insurance plan, or social service agency working with medical records
  • Knowledge of medical terminology
  • Working knowledge of Microsoft Office system
  • Detailed understanding of electronic medical record systems and the ability to integrate updates to those workflows on a regular basis
  • Knowledge of HIPAA privacy rules and regulations
  • Excellent customer service skills, including the ability to interact professionally, patiently, and courteously with customers over the phone and in person
  • Demonstrate excellent interpersonal skills
  • Ability to work both independently and collaboratively
  • Ability to work under pressure to meet deadlines

Responsibilities

  • Electronically sort and file all faxes, documents, and electronic medical correspondence (indexing) in an accurate and timely manner.
  • Fax, scan, and index all outgoing faxes and mail in an accurate and timely manner: Scan in all documents not needing review Scan in all documents needing clinician review Scan in all documents for urgent clinician review Photocopy, scan and mail documents not needing clinician review Fax documents and mail in a timely manner
  • Facilitate medical chart reviews as needed for quality review or compliance.
  • Process requests for incoming or outgoing medical records by phone or in writing for continuity of care for patients.
  • Scan and index POLST forms and send to POLST registry.
  • Prepare home Health certifications and recertifications, as requested.
  • Provide back up to care coordination which includes answering and routing phone calls.
  • Going into the Housecall Providers office to sort and scan the primary care mail 1-2 days a week.
  • Maintain patient/family and staff confidentiality in compliance with HIPAA laws.
  • Maintain agreed upon work schedule and meet deadlines for completion of work.
  • Demonstrates cooperation and teamwork and maintains collaborative relationships with all levels of staff and community partners.
  • Participate in ongoing education and assume responsibility for updating professional skills.
