About The Position

We're seeking a highly organized and tech-savvy Office Assistant to support our operations. This part-time role is essential in managing mail distribution, maintaining efficient workflows, updating digital filing, and contributing to a streamlined and productive workplace. The ideal candidate is dependable, resourceful, and takes initiative—someone who thrives on solving problems, building scalable processes, and leveraging technology to improve operations and reduce manual tasks. Requirements

  • 5+ years of experience in office administration, operations, or related administrative support roles
  • Advanced proficiency in common office technology such as Microsoft Office/Microsoft 365, Adobe, Dropbox, and SharePoint.
  • Demonstrated experience successfully working with a geographically distributed team, such as work from home.
  • Demonstrated experience building scalable administrative processes and implementing technology solutions, including AI, to streamline workflows
  • Strong multitasking and prioritization skills with exceptional attention to detail
  • Excellent communication and interpersonal abilities
  • Hands-on experience troubleshooting scanner-printer equipment and resolving common technical issues
  • Ability to read and write in the English language.

Responsibilities

  • Mail Management: Review, scan, and electronically distribute incoming mail with accuracy and timeliness.
  • Filing: Maintain organized digital filing systems while ensuring confidentiality and accuracy.
  • Build scalable processes: Leverage technology and AI tools to optimize administrative workflows and drive greater operational efficiency
  • Troubleshoot and resolve common scanner-printer issues, including clearing jams and following diagnostic instructions provided by vendor.
  • Bring a solutions-focused mindset, commitment to excellence, and an ownership-driven approach that supports our culture of innovation, collaboration, and continuous improvement
