Integral to our business, the Office Assistant based in the Buckhead area of Atlanta, GA will provide front office support and management and will be directly responsible for providing a positive experience for our Atlanta office visitors and employees. This individual will also be responsible for managing and maintaining conference room scheduling, ordering supplies and facilities management. In addition, the ideal candidate will carry out special assignments and detailed requests to effectively organize and provide operational leverage for departments and leaders as needed.

Requirements

  • High School diploma or GED required
  • Happy, welcoming, and can-do attitude with visitors and coworkers
  • Ability to identify needs before being asked
  • An optimistic outlook and “can do” attitude
  • Excellent verbal, written, and interpersonal communication skills
  • Detail-oriented and a team player
  • Proficiency with Word, Excel, PowerPoint, and Outlook

Nice To Haves

  • Bachelor’s Degree (BS or BA) or equivalent from a four-year college or technical school, or 1 - 2 years related experience and/or training, or equivalent combination of education and administrative support experience preferred.
  • Experience working in any high-volume/high-intensity service industry (e.g., hospitality, restaurant, hospital, medical office or retail environment) preferred

Responsibilities

  • Serve as first point of contact for Atlanta office guests to ensure positive experience and visit
  • Handle administrative requests from market leaders
  • Maintain inventory of supplies, support materials, office supplies, food and beverages
  • Act as a liaison with facilities and assist in overseeing maintenance work orders and requests
  • Distribute mail to appropriate clinics or departments and handle postage and shipping needs
  • Arrange travel for leadership, including flights, hotels, and ground transportation
  • Manage meeting and schedule coordination for senior leaders and the broader leadership team
  • Process expense reports ensuring accuracy and timeliness
  • Draft, edit and finalize executive-facing documents and presentations
  • Coordinate onboarding logistics for new hires including training schedule and equipment procurement
  • Assist with internal and external meeting and event planning
  • Support senior leaders with ad hoc projects as needed
  • Provide broader office operations and support as necessary
