About The Position

This is an INTERNAL recruitment, open to current, permanent WA State Department of Corrections (DOC) employees only. Employees assigned to a permanent duty station in King County will receive a 5% premium pay calculated from their base salary. Our agency offers a free ORCA card to all employees whose permanent duty station is assigned in King, Pierce, and Snohomish counties. Our agency is looking to INTERNALLY fill a full-time, permanent Office Assistant Lead (OAL) vacancy within the Community Corrections Division. This position works for the Tukwila Field Unit located at the Seattle Community Justice Center (CJC), 1550 4th Ave South, Seattle, WA 98144. Under general supervision by the Community Corrections Supervisor (CCS), this position provides a high level of clerical and secretarial support to the CCS and Community Corrections Officers (CCOs). Requirements

  • High school diploma or equivalent.
  • Two years of clerical experience that required keyboarding or typing.
  • Maintain regular and reliable attendance.
  • Must respect and maintain confidentiality.
  • Basic level of proficiency and knowledge in Microsoft Office to include Outlook, Word and Excel.
  • Ability to assist individuals with various criminal backgrounds.
  • Ability to navigate internal databases.
  • Ability to proofread written material, identify and correct errors in sentence structure, grammar, and punctuation.
  • Ability to communicate effectively and clearly to staff, supervise individuals, public and stakeholders.

Nice To Haves

  • Prior experience working in an office setting.
  • Experience working with databases.
  • Experience using Microsoft Office programs (Word, Excel, Outlook, etc.).

Responsibilities

  • As the designated lead, you will instruct and review the work of the Office Assistant 3s (OA3s) while also providing direct complex secretarial services and assistance to the Community Corrections Supervisor (CCS) and Community Corrections Officers (CCOs).
  • Using specialized knowledge, technical skill, and independent judgement to review various court orders and enter and retrieve data from the Offender Management Network Information (OMNI) system.
  • File management, including file setup and closing and archiving files.
  • Maintain a log of weekly caseloads and keeping it current.
  • Serve as the receptionist to greet and confer with supervised individuals (S/Is) and the public by answering questions and/or directing them to the supervising CCO.
  • Answer a multi-line telephone system.
  • Back-up support duties and other duties as assigned.
