About The Position

This is a full-time, non-permanent Office Assistant Lead (OAL) position within the Community Corrections Division, located at the Tacoma Community Justice Center (CJC). The appointment is expected to last approximately six months. Under general supervision by the unit's Office Manager, this position provides a high level of clerical and secretarial support to Community Corrections Supervisors (CCS) and Community Corrections Officers (CCOs). The primary focus will be assigning, distributing, and reviewing work for the unit, responding to information requests, maintaining files, handling inquiries, and providing reception coverage on a rotational basis. The work hours are Monday-Friday, 8:00 am to 5:00 pm. The agency seeks individuals committed to public service, an equitable and inclusive culture, excellence, innovation, engagement, and safety.

Requirements

  • High school diploma or GED equivalent.
  • Two years of clerical and/or customer service experience that required keyboarding or typing.
  • Maintain regular and reliable attendance.
  • Respect and maintain confidentiality.
  • Basic level of proficiency and knowledge in Microsoft Office to include Outlook, Word and Excel.
  • Ability to assist individuals with various criminal backgrounds.
  • Ability to navigate internal databases.
  • Ability to proofread written material, identify and correct errors in sentence structure, grammar, and punctuation.
  • Ability to communicate effectively and clearly to staff, supervise individuals, public and stakeholders.

Nice To Haves

  • Two years of corrections experience.
  • Experience working with databases.
  • Experience using Microsoft Office programs (Word, Excel, Outlook, etc.).

Responsibilities

  • Train, instruct, and review the work of Office Assistant 3s (OA3s).
  • Provide direct secretarial services and assistance to the Community Corrections Supervisor (CCS) and Community Corrections Officers (CCOs).
  • Enter and retrieve information from various database systems, such as the Offender Management Network Information (OMNI) and OnBase, using specialized knowledge, technical skill, and independent judgment.
  • Manage files, including file setup, closing, and archiving.
  • Serve as the receptionist on a rotational basis to greet and confer with supervised individuals (S/Is) and the public, answering questions and/or directing them to the supervising CCO.
  • Manage a multi-line telephone system.
  • Perform back-up support duties and other assigned duties.
