Requirements

  • High School or equivalent.
  • Excellent organizational, interpersonal, and verbal and written communication skills.
  • Strong customer service skills.
  • Ability to complete multiple tasks efficiently and thrive in a team environment.
  • Knowledge of Microsoft Office, database, and internet applications.
  • Light, accurate keyboarding skills.
  • Qualified candidates must be able to effectively communicate with all levels of the organization.

Nice To Haves

  • 6 months Physician practice office experience.
  • Knowledge of medical terminology.
  • Knowledge of EPIC Ambulatory.

Responsibilities

  • Provides basic front-desk support for clinical intake operations.
  • May be responsible for pre-authorizations and certifications, excluding surgical procedures.
  • Performs other duties as assigned.
  • Provides reception assistance, including greeting patients, answering calls, and directing inquiries.
  • Screens telephone callers professionally, handles calls, takes messages, or directs callers appropriately.
  • Schedules routine appointments, follow-ups for visits, and procedures that do not require or have already been pre-authorized.
  • Refers inquiries regarding pre-authorizations/certifications to the appropriate personnel.
  • Collects and completes patient-related documents.
  • Assists patients with enrolling in Patient Secure if necessary.
  • Confirms patient appointments daily, making appropriate notations in the system.
  • Maintains the schedule to prevent gaps.
  • Responsible for patient check-in and check-out.
  • Gathers patient demographic data and materials from patients or their representatives.
  • Obtains insurance information, verifies eligibility electronically, takes patient pictures, and directs them to use Patient Secure.
  • On subsequent visits, verifies demographic information and makes necessary edits.
  • Collects and has patients sign patient-related documents (HIPAA, MSPQ, ABN, etc.).
  • Follows up with patients, representatives, or physician offices to gather missing data for intake completion, or refers to senior staff.
  • Responsible for collecting co-pays and other outstanding balances.
  • Scans necessary documents (insurance cards, lab requisitions, etc.) into the intake system.
  • Monitors the intake work queue for timely completion.
  • Ensures appropriate procedure and diagnosis coding is used in pre-certification and verification processes, questioning physicians for accuracy and completeness when necessary.
  • Assists patients with questions regarding insurance coverage.
  • Refers patients needing counsel on financial matters to the appropriate business office contact based on established criteria.
  • Maintains cooperative and professional relationships with physicians, nurses, and office/clinical staff.
  • Types routine material such as forms, letters, and envelopes neatly and accurately.
  • Answers patient questions to ensure understanding and satisfaction, or refers them to senior staff.
  • Maintains confidentiality of privileged information.
  • Maintains and receives files for the area in an organized and up-to-date manner.
  • Completes filing according to departmental procedures.
  • Sorts and distributes documents and forms for the area section.
  • Logs in materials with respect to time and date when applicable.
  • Processes incoming and outgoing documents.
  • Completes forms neatly, secures appropriate signatures, and forwards documents/forms to the correct destination.
  • Maintains a copy for files.
  • Faxes documents according to departmental procedures.
  • Maintains supplies and cleanliness of the workspace, restocking supplies as needed.
  • Notifies supervisor of any supply shortages.
  • May assist, provide guidance, and/or train staff on completing intake-related duties.
