About The Position

This is a Full-Time, Non-Permanent Office Assistant 3 position at the Washington Veterans Home in Port Orchard, WA. The role supports resident-centered care by maintaining electronic medical records and performing clerical functions for the care team and residents. The hours are Monday-Friday, 7:00 AM to 3:30 PM. The Washington State Department of Veterans Affairs (WDVA) is dedicated to serving Veterans and their families, connecting them to benefits and programs, and providing care at four State Veterans Homes. Requirements

  • High school graduate or GED.
  • Two (2) years of professional clerical experience, or equivalent time for clerical experience.
  • Ability to use Microsoft Office, including Outlook.
  • Strong interpersonal and communication skills, both verbal and written.
  • Strong organizational skills with attention to detail.
  • Must be able to read, write, speak, and understand English effectively.
  • Must be able to pass a DSHS BCCU Background Check prior to beginning services and every two (2) years.
  • Must be able to lift up to 60 lbs. and reach a minimum of 36" using proper technique.
  • Must be able to push or pull with sufficient strength and walk, sit, and bend in an unrestricted manner during the entire workday.
  • Must maintain regular and reliable attendance and be willing to work as needed.
  • Must successfully complete employee orientation and all other mandatory training.
  • Must become familiar and comply with all DVA policies and procedures and Collective Bargaining Agreements.
  • Must sign the confidentiality statement for all employees.
  • Candidates must possess work authorization which does not require sponsorship by the employer for a visa now or in the future.

Nice To Haves

  • Clerical experience in a long-term/skilled nursing care setting.
  • Working knowledge of medical terminology.
  • Completion of medical front office training, Medical Assistant training program, or related educational training.
  • Experience as a Health Unit Coordinator, Medical Assistant, or similar professional experience.
  • Experience using an electronic medical record, and particularly, Point Click Care.

Responsibilities

  • Maintain electronic medical records using PointClickCare software.
  • Prepare paperwork for resident transfers to hospitals or emergency departments.
  • Scan medical records into EMR, print daily orders for auditing, and handle wound management referrals.
  • Answer telephones, relay messages, and fax reports to consulting providers.
  • Maintain an orderly and clean nursing station and work area.
  • Order office supplies and print forms for the nursing station.
  • Request medical records from outside facilities as needed.
  • Reserve rooms for care team meetings using Outlook Calendar.
  • Enter work orders into Worx-Hub.
  • Develop and maintain the calendar of resident appointments.
  • Prepare referrals to outside medical appointments, including copies of relevant medical records.
  • Print daily travel orders/lists and coordinate with Transportation.
  • Print appointment reminders and communicate with Transportation and outside medical offices regarding appointment changes.
