About The Position

Under close supervision, provide reception and clerical assistance for the efficient operation of the campus office. This role involves supporting high student achievement by providing program support and service delivery, communicating effectively within and across teams, and participating in cross-functional work groups. The position requires maintaining a commitment to the District mission and modeling District expectations through personal leadership. Key responsibilities include managing the campus office, handling incoming calls and visitors, maintaining security logs, responding to emergencies, managing deliveries, assisting parents and students with check-in/out procedures, preparing student identification and passes, processing new student records and information requests, and assisting with mailings. The role may also involve backup duties for the Health Clinic, administering medication, basic first aid, responding to emergency radio calls, handling initial parent complaints, supervising students in the office, and attending faculty meetings. Clerical assistance, including scheduling appointments, is also part of the duties. Maintaining confidentiality, developing information retrieval systems, compiling and securing records, pursuing professional development, and complying with all policies and ethical standards are crucial. Safety protocols and emergency procedures must be followed.

Requirements

  • High School Diploma or equivalent
  • One (1) year of clerical/secretarial experience (or related experience) in an office setting
  • Ability to operate multi-line phone system
  • Effective public relations, organization, communication, and interpersonal skills
  • Ability to read; understand and follow detailed written and verbal instructions
  • Ability to speak, read, and understand English
  • Ability to effectively present information in one-on-one situations
  • Proficient in keyboarding and file maintenance

Responsibilities

  • Receive and direct incoming calls, take messages, and route to appropriate staff.
  • Greet visitors, respond to inquiries, and direct them to appropriate personnel, adhering to building security policies.
  • Maintain visitor log and issue visitor passes.
  • Respond to emergency calls and notify appropriate parties.
  • Receive deliveries and disseminate materials and information.
  • Assist parents in checking students in and out of school.
  • Prepare and distribute student identification cards, bus passes, and parking stickers.
  • Assist with the receipt and distribution of student materials, including homework requests.
  • Process new student records, including requesting transcripts and records from other schools and setting up cumulative folders.
  • Process and transmit requests for student information and transcripts.
  • Call parents to verify student absences.
  • Assist with preparation of materials for mailing.
  • Assist as the Health Clinic backup, administering student medications, monitoring diabetic students, and doing basic first aid.
  • Respond to emergency radio calls, and alert CPI Team and/or administrators for students/teachers needing immediate support.
  • Receive initial parent complaints to resolve or forward to appropriate parties.
  • Supervise students waiting in the office to speak with administrators.
  • Attend and participate in faculty meetings and special events and serve on staff committees as required.
  • Provide clerical assistance as needed, including assisting with the scheduling of appointments.
  • Ensure that all interactions with students, District personnel, and parents are supportive, courteous, and respectful.
  • Maintain confidentiality.
  • Develop and maintain systems for retrieval of information in support of all programs.
  • Compile, maintain, file, and secure all physical and computerized reports, records, and other required documents.
  • Pursue Professional Development activities for self and assigned staff.
  • Comply with all policies, operating procedures, legal requirements, and verbal and written directives.
  • Comply with the Professional Code of Ethics and Standard Practices for Texas Educators.
  • Follow District safety protocols and emergency procedures.
