The Office Administrator is responsible for coordinating student registrations and trainings, communicating with customers and internal teams, and keeping schedules, records, and documents organized. They should have strong written and verbal communication skills, be highly organized, detail-oriented, and comfortable using Microsoft Excel, Outlook, Word, and Adobe to create and update quotes and documents. Strong Communication Skills – Clearly and professionally communicate with customers and internal teams by email, phone, and in person. Proficiency in Microsoft excel and Adobe acrobat – Use excel to track the KPI of the department and use adobe to prepare and send customer quotes. Ability to handle scheduling and coordination, including working with different time zones. Attention to detail – Accurate data entry, correct name/dates, catching mistakes before they go out. Ability to lift and move boxes up to 25lbs as needed. Strong note taking skills- Capture clear, accurate notes during meetings, trainings, and calls so information can be shared and followed up on later. File and data management – Maintains digital and paper records so information is easy to find when managers or customers ask for it. Technologies preferred – Salesforce and SAP are preferred to order office supplies or any other necessary things for the department and look up customer information. Greeting customers – Welcomes people in a friendly, professional way and helps them with where they need to go. Prioritizing work – knows which tasks are urgent and which can wait and plans the day around that.
