About The Position

We are hiring immediately for a full time OFFICE ADMINISTRATOR position. This role provides direction for activities related to the administration, personnel, physical plant, information systems, office management and safety for the assigned work location. The Office Administrator oversees the general operation of the unit office to include upkeep of operating cost records, associate files, compliance, record retention in addition to organization and filing of records and other operational supporting documentation that may be required. They ensure staffing, service and financial standards are met while improving efficiency and reducing costs. The role also involves auditing cash transactions, depositing funds, and preparing financial statements. Additionally, the Office Administrator prepares weekly, monthly and annual reports and other reporting documentation for management review. They coordinate with other departments within the operation and are knowledgeable of sector-support departments in the corporate office. The position provides recommendations for the selection and performance management of associates and attends staff and management team meetings. The role also inventories and maintains office supplies and performs other duties as assigned.

Requirements

  • Previous administrative, invoicing, and scheduling experience are required.

Responsibilities

  • Manage and prioritize daily emails, customer requests, and administrative tasks.
  • Process daily invoices and maintain accurate billing documentation.
  • Schedule service calls and coordinate with customers and field technicians.
  • Assist with dispatching technicians and managing work orders.
  • Set up and maintain customer accounts and service records.
  • Answer inbound customer and internal calls, providing timely and professional support.
  • Support managers and technicians with day-to-day operational needs.
  • Maintain accurate records and ensure company systems remain up to date.
