About The Position

BBI Brands is looking for a highly organized, proactive Office Administrator to help keep our Tampa office running at its best. As the central point of contact for the office, you'll support employees across multiple departments while ensuring day-to-day operations run smoothly. From managing the front desk and coordinating office communications to improving internal processes and maintaining an organized workplace, no two days are the same. The ideal candidate is resourceful, detail-oriented, and comfortable balancing a variety of responsibilities in a fast-paced environment.

Requirements

  • 1+ years of relevant experience in an office setting, preferably in an administrative or clerical role
  • Excellent organizational skills, ability to prioritize, and comfortable working independently
  • Exceptional oral and written communication skills
  • Must be committed to providing outstanding customer service and demonstrate strong interpersonal skills
  • Strong attention to detail
  • Proficient computer skills and ability to operate general office equipment

Responsibilities

  • Manage the Front Desk Experience: Serve as the first point of contact for employees, customers, candidates, vendors, and visitors, creating a welcoming and professional office experience. Manage the front desk by overseeing the visitor management system, answering and directing incoming calls, and coordinating guest arrivals with internal teams.
  • Support Office Operations: Support day-to-day office operations, ensuring employees have the resources and support they need to be successful. Partner with HR, Recruiting, Leadership, and Marketing to coordinate office communications, provide administrative support, and assist with office and department initiatives. Coordinate onboarding logistics, including employee badges, parking passes, nameplates, workspace setup, and other office readiness tasks. Partner with the Columbus Office Administrator to maintain consistent processes while creating, organizing, and improving office procedures and SOPs.
  • Maintain the Office Environment: Maintain conference rooms, kitchens, common areas, and shared spaces to ensure a clean, organized, and professional office environment. Coordinate meeting room setup, catering, office supplies, mail, deliveries, and inventory to support daily office operations. Coordinate with BBI Real Estate, vendors and building management to ensure office services, maintenance, and facilities operate smoothly.
  • Provide Administrative Support: Prepare documents, scan, print, file, and assist with general administrative projects. Provide additional administrative and operational support as needed, contributing to an organized, collaborative, and efficient office environment.
