About The Position

We seek a highly organized and detail-oriented Clerical / Office Administrator to join our dynamic team. In this role, you will support the day-to-day administrative and clerical functions of the office, ensuring smooth operations through strong organization, communication, and attention to detail. The ideal candidate is dependable, professional, and able to manage multiple priorities while maintaining accuracy and confidentiality.

Requirements

  • Must live on St. Thomas, USVI.
  • Must have a valid driver’s license.
  • Must be able to read and write in English clearly & succinctly.
  • Must be proficient in Microsoft Office (Excel, Outlook, Word) and platforms such as Adobe Pro, Google, Zoom, WhatsApp.
  • Must have effective and efficient typing skills.
  • Organized, proactive, and follows up with previously assigned tasks until completed.
  • Must be upbeat, accurate, move quickly and be able to change tasks, prioritize and multi-task.
  • Maintain a high level of professionalism and confidentiality.

Nice To Haves

  • Notary or willingness to become a Notary is a plus.

Responsibilities

  • Greet visitors and direct office traffic appropriately.
  • Coordinate Notary and all periphery tasks such as document preparation and scheduling.
  • Scanning and emailing/filing invoices, receipts, and supporting documentation.
  • Responsible for office supply purchasing and inventory.
  • Petty cash disbursements and tracking.
  • Collect, sign for, and disperse paper mail and packages.
  • Order/receive office water deliveries and maintain related records.
  • Maintain office appearance and straighten conference room daily.
  • Coordinate office repairs/maintenance (A/C repairs, service vendors, etc.).
