About The Position

Career Staffing Talent (CST) is partnering with a growing Boston-based technology company to recruit an organized, proactive, and detail-oriented Office Administrator. This position will serve as the operational and administrative backbone of the company’s Boston office. The Office Administrator will manage workplace logistics, provide day-to-day administrative support, assist with employee onboarding, and help create a welcoming and well-organized office environment. The ideal candidate is service-oriented, resourceful, and comfortable managing multiple priorities in a fast-paced workplace. Professional fluency in both English and Mandarin is required.

Requirements

  • At least two years of experience in office administration, administrative support, reception, customer service, workplace operations, or a related function.
  • Professional fluency in English and Mandarin is required.
  • Strong organizational, time-management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Friendly, professional, and service-oriented approach.
  • Proficiency with Google Workspace, including Gmail, Calendar, Docs, and Sheets.
  • Proficiency with Microsoft Office applications.
  • Ability to work independently, anticipate needs, and solve problems with minimal supervision.
  • Ability to handle sensitive and confidential information with discretion.

Nice To Haves

  • Associate’s or bachelor’s degree in business administration, hospitality, or a related field preferred; equivalent practical experience will be considered.
  • Experience in a startup, technology company, or fast-paced corporate environment is preferred.

Responsibilities

  • Support daily office operations and ensure the workplace remains organized, welcoming, fully stocked, and functional.
  • Serve as the local point of contact for vendors, property management, maintenance providers, and facility-related requests.
  • Monitor and maintain inventory of office supplies, snacks, beverages, and other workplace necessities.
  • Coordinate incoming and outgoing mail, packages, deliveries, and related office logistics.
  • Assist HR with employee onboarding, including preparing workstations, issuing access badges, and coordinating equipment distribution.
  • Help organize team-building activities, cultural events, holiday celebrations, and team lunches.
  • Coordinate meeting rooms, travel arrangements, lodging, and expense reports for team members and visiting executives.
  • Assist with basic invoicing, receipt collection, recordkeeping, and general administrative projects.
  • Maintain confidential company and employee information with professionalism and discretion.
