About The Position

This role serves as an Office Administrator, providing comprehensive support across General Administration, HR Coordination, Production Support, and Accounts Payable functions. The ideal candidate will be a self-motivated individual with strong organizational skills, proficiency in Microsoft Office, and a minimum of 1-2 years of HR administrative experience, preferably in a manufacturing or warehouse setting. This position requires a high level of professionalism, excellent communication skills, and the ability to adapt to a fast-paced, changing environment.

Requirements

  • High School diploma required.
  • Minimum of 1-2 years of HR administrative experience, preferably in manufacturing or warehouse environment.
  • Familiarity with Employment Laws and HR best practices.
  • Proficient in Microsoft Office Suite: Outlook, Word, Excel and PowerPoint.
  • Conduct oneself with highest level of professionalism at all times.
  • Conflict resolution and problem-solving skills.
  • Strong oral, written and presentation communication skills.
  • Good organizational, planning and follow up skills.
  • Ability to work in a fast-paced changing environment.
  • Candidate must be a self-motivated and able to learn as they go.

Nice To Haves

  • Associate or bachelor’s degree preferred.
  • Prefer candidates with some type of order scheduling and data collection experience.
  • Understanding of common employee benefits details, a plus.

Responsibilities

  • Greet and address walk-in customers.
  • Answer and route incoming phone calls.
  • Assist with 3rd party drivers onsite.
  • Sign for packages.
  • Sign vendors and visitors in/out.
  • Complete orders for office supplies, janitorial supplies, and other misc. items.
  • Restock breakroom and office supplies.
  • Schedule and conduct new employee orientations.
  • Maintain accurate and secure employee files.
  • Assist with workers' compensation administration, leave of absences, and return with restrictions.
  • Monitor and track vacation requests.
  • Submit supplemental or adjustment reports to payroll with management approval.
  • Assist employees with paycheck and benefits related questions/issues.
  • Act as a liaison between employees and site management.
  • Assist with HR related questions/concerns with support from the Human Resource Business Partner.
  • Track and coordinate plant celebrations.
  • Coordinate and order lunches/dinners for trainings and/or guest visits.
  • Print out work orders.
  • Confirm work orders are released correctly and resolve any issues.
  • Report daily production and check entered production against reported production.
  • Compile data from multiple sources into spreadsheets, create graphs, and prepare PowerPoint presentations.
  • Perform scheduled inventory duties as needed.
  • Communicate order status, send/receive documentation, perform HR tasks, and troubleshoot issues with an offsite Customer Service Representative and HR Manager.
  • Collect and audit standard forms and paperwork for accuracy.
  • Assist in CTSI Administration.
  • Assist with EH&S audits as needed.
  • Code invoices in IBM AP Portal.
  • Enter goods receipts on system PO’s within Solomon.
  • Resolve errors with receipts (unmatched report).
  • Run unvouchered unmatched report for accuracy.
  • Reconcile price differences between PO and invoice.
  • Maintain records for AP.
  • Assist with vendor payment inquiries and escalate to IBM for research.
  • Prepare documents for controller for month-end accruals.
  • Maintain capital expenditure files.
  • Collect and verify grading documents for accuracy before scanning and sending to IBM Portal.
  • Create Purchase Orders – manual and/or within Solomon.
  • Ensure invoices are properly routed to IBM AP Portal.
  • Perform other duties as assigned by Manager.
